Position Summary
This recruitment will be used to fill five part-time (maximum of 24 hours per week) positions in events support at PRAx, the Patricia Reser Center for the Creative Arts at Oregon State.
PRAx Events Assistants will help with many aspects of event planning, event management, visiting / performing artist hospitality artist experience, and guest experience. They will play an important role in the success of events throughout the 24-25 season.
PRAx Events Assistants will support the Senior Events Manager with standalone events for which the events manager is designated the primary lead. These will include facility rentals, talks, meet and greets, dinner, short musical presentations (such as PRAx Preludes, Music à la Carte, and others) and similar events that do not require a full production team, such as Horning or Spring Creek events, generally held in Toomey Lobby, Dixie's Garden, Austin | Parrish Plaza, and sometimes Ray Theater.
The Events Assistant may also assist the Senior Events Manager with certain aspects of larger event programming in Detrick Hall and Ray Theatre, such as transportation, artist hospitality, arranging for book sales, assisting with artist meet and greets and merch signings.
This is a pooled posting. That means it will stay open for several months and we will pull applicants from the "pool" for interviews as openings occur, until the closing date, and possibly beyond.
Reports to : Senior Events Manager
Schedule : Varied schedule that will require weekend and evening work. Preference for students whose schedules would allow them to work more than 12 and up to 24 hours a week. Positions will require weekend and evening work.
Position Duties
Support events at PRAx as needed, and depending on the schedule :
- Welcoming and greeting performers or guest artists on arrival
- Tour artists and assist with wayfinding within PRAx
- Loading and unloading equipment
- Event set up, tear down, clean up, which may include lifting and moving tables, chairs, other furniture, striking smaller stages, helping to load guest cars or trucks, stowing equipment
- Setting and / or or resetting the lobby or other areas of PRAx
- Event-related research, contacting vendors, and / or other administrative work
- Meeting caterers and other event vendors and directing them to the proper location
- Basic AV support such as connecting laptops, setting and turning on mics, running projector, monitoring sound and troubleshooting during events.
- Setting the smaller stages with requested equipment such as chairs, tables, podium, mic stands, plants, rug, etc.
- Scheduling, picking up and returning borrowed items from University Events
- Working successfully and professionally with other PRAx staff, including PRAx Leads, Associates and Interns, as well as all PRAx FT staff.
- Driving artists in PRAx van or personal car to and from hotels, picking up food or equipment, running errands as needed.
- Setting up dressing rooms and green room, clearing out these rooms after performances so they are reset and ready for janitorial service (loading dishes, picking up trash, etc.)
- Being attentive to guest artists before and after performances.
- Optional) Public Speaking - introducing Music à la Carte performances.
- Other duties as assigned.

Additional Required Qualifications
When working, PRAx Events Assistants must follow PRAx safety procedures.
This position requires driving a University vehicle or a personal vehicle on behalf of the University; therefore, the incumbent must successfully complete a Motor Vehicle History Check, possess and maintain a current, valid driver's license in their state of residence, be determined to be position qualified and self-report convictions (as per Voluntary and Compulsory Driver Standards OSU Standard 125-155-0200) as per OSU Standard 576-056-0000 et seq.
Preferred (Special) Qualifications
Previous successful experience working in events, live performance, customer service, or hospitality position.
