Surgery Scheduler
Hours: Full-Time, 36 - 40 hours per week
Job Summary:
The Surgery Scheduler is responsible for coordinating and scheduling surgeries and medical procedures for patients. This role ensures that all surgical appointments are arranged efficiently and accurately while providing exceptional customer service to patients. The Surgery Scheduler works closely with surgeons, medical staff, patients, and external facilities to guarantee seamless scheduling and pre-operative planning.
Essential Functions:
- Schedule surgeries and medical procedures based on surgeon availability and patient needs.
- Communicate with patients to provide pre-operative instructions, answer questions, and confirm appointment details.
- Coordinate with hospitals, surgery centers, and other facilities to book operating rooms and resources.
- Verify the need for insurance authorizations and pre-certifications for scheduled procedures. Collaborate with billing office when pre-authorization is required.
- Ensure all necessary documentation, including medical records, referrals, and clearances, are obtained and submitted before surgery.
- Collaborate with the surgeon and medical team to address scheduling conflicts or changes.
- Maintain accurate and up-to-date scheduling records in the practice’s electronic medical record (EMR) system.
- Follow up with patients regarding post-operative appointments and instructions as needed.
- Provide excellent customer service, demonstrating empathy and professionalism in all patient interactions.
- Perform other administrative tasks as needed to support the office and its operations.
Position Requirements:
Education and/or Experience:
- Minimum of High school diploma or equivalent. Associates or Bachelor’s degree, preferred.
- Two or more years’ experience in a healthcare or outpatient medical office setting (physician’s office or ambulatory surgery centers) within the last five years. Surgical specialty experience strongly preferred.
- Previous billing, collection, and/or health insurance verification experience, preferred.
- Must have excellent interpersonal, communication and telephone skills.
- Bilingual in English and Spanish, preferred.
Necessary Knowledge, Skills and Abilities:
- Demonstrated computer experience, preferably with Epic EHR.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Knowledge of medical terminology, surgical procedures, and healthcare workflows.
- Ability to handle sensitive patient information with confidentiality and discretion.
- Strong problem-solving skills and the ability to adapt to schedule changes and challenges.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Customer-focused attitude with the ability to remain calm under pressure.
Physical Demands
- Ability to sit for extended periods while working on a computer.
- Occasional lifting of files or supplies up to 15 pounds.
- Regular use of standard office equipment such as computers, phones, and fax machines.
- Clear verbal communication and the ability to respond to patient inquiries effectively.

Pay: $19.30 - $22.00 per hour
