Job Title: Operations Assistant/Dispatch
Pay & FSLA Status: Full-time, Hourly Non-Exempt
Regular Schedule & Shift: Monday – Friday; Day shift
Regular Weekly Hours: Full-time/40 hours per week (overtime as needed)
Paid Time Off (PTO): 80 hours accrued year 1; 120 hours accrued annually after year 1

POSITION SUMMARY:

Under the direction of the Operations Manager, the Operations Assistant is responsible for providing daily direction and support to the branch’s operations staff which include commercial and local delivery drivers, door shop workers, pre-finish workers, and warehouse associates.

DISPATCH RESPONSIBILITIES:

  • Responsible for taking calls and managing the schedule of trucks on the daily receiving board.
  • Ensures drivers are routed effectively to meet planned commitments while keeping in mind length, the purpose of the trip, and freight requirements. Use of route optimization and knowledge of the local market to meet established delivery targets and goals.
  • Plays a critical role in onboarding new drivers and management of delivery operations equipment and expenses, to include but not limited to, issuing keys, record sheets, providing credentials to drivers, maintaining records of mileage, fuel usage, scheduling and tracking of repairs and other expenses. Will issue equipment to drivers such as hand trucks, dollies, and blankets.
  • Will coordinate for a helper to assist the primary driver as necessary dependent on scheduled deliveries and route.
  • Records time of departure, destination, cargo, and expected time of return.
  • Responsible for providing professional and timely communication to OrePac customers to expedite or locate missing, misrouted, delayed, or damaged products. Responsible for arranging pick-up and return of material.
  • Establishes service or delivery routes with the expectation to revise and adjust as necessary based on market demands.
  • Responsible for arranging back hauls as appropriate.
  • Assures driver compliance with applicable state and federal regulations
  • Expected to work alongside delivery drivers to meet and/or exceed established goals for efficiency and profitability of trucking operations as periodically established.

PRODUCTION SCHEDULER RESPONSIBILITIES:

  • Works with Shop Manager to ensure that appropriate personnel and assets are available
  • Reviews printed work orders from the BisTrack to ensure accuracy and works with sales to make appropriate changes as needed
  • Organize and distribute work orders to correct personnel
  • Assist in door/or pre-finish shops as needed

INVENTORY AND QUALITY CONTROL RESPONSIBILITIES:

  • Keep designated work areas supplied with material, piling, or stacking materials safely in designed locations. Take weekly inventory of packaging supplies
  • Read production schedule, customer order, work order, shipping order, or requisition to determine items to be moved, gathered, or distributed
  • Prepare and maintain records of amounts of materials or items received or distributed
  • Ensures all material is received in a timely manner and in compliance to branch standard operating procedure (SOP)
  • Employee training and audits of process, product and acceptability of end products
  • Shop assessments and recommendations for equipment, tools and manpower
  • Investigate, support and resolve system errors
  • Employee training on proper system processes focused on operational efficiency, inventory, and order entry accuracy
  • Document, in detail, systems process resolutions for training and compliance to branch standard operating procedure (SOP)
  • Manage and assist root cause analysis with lost item inventory list
  • Upload, move and store a variety of materials, parts or products. Sorts and places materials or items on racks, shelves, or in bins according to predetermined sequence such as size, type, style, color, or product code
  • Use RF gun to fill orders from storage areas and warehouse stock and deliver to designated department or to shipping preparation area
  • Assembles customer orders from stock and places orders on pallets or shelves, or conveys orders to packing station or shipping department

SAFETY RESPONSIBILITES:

  • Responsible for adherence to OrePac’s safety program. Shares responsibilities with Operations Management in efforts to aid in training, conducting safety observations, and participating in incident investigations to determine root cause.
  • Prepare and conduct monthly safety training sessions for all employees where relevant
  • Lead injury and incident inquiries, evaluations, and reporting
  • Follow and comply with OrePac’s policies and procedures and applicable state and federal laws.
  • Manage and monitor Intelex reporting for the SLC branch
  • Responsible for reporting and managing Behavior Based Safety Observations (BBSO’s) in the warehouse

REQUIRED SKILLS:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Ability to write routine reports and correspondence
  • Must have strong organizational skills and attention to detail.
  • Demonstrated ability in using independent judgement in determining how to approach and solve problems.
  • Ability to think through multiple alternatives and potential consequences to determine the best outcome.
  • Must be flexible and ready to adapt within a fast-paced working environment while maintaining quality results and achieving operational delivery goals.
  • Ability to perform as a team player and interact with all management and support personnel levels.
  • Strong communication skills. Comfortable engaging and leading individual and team discussions and meetings. Ability to articulate direction and expectations to teammates in a clear and concise manner.
  • Ability to re-prioritize as necessary throughout the day with minimal supervision and effectively communicate changes with the team.
  • Knowledge and understanding of safety and transportation requirements, Dot compliance, use of ELD equipment, and route optimization and delivery efficiencies.

REQUIRED EDUCATION & EXPERIENCE:

  • High School diploma or general education degree (GED), experience of at least one year (preferred) or any combination of education, training or experience that demonstrates the ability to perform the duties of the position.

  • Regularly required to lift/move/manipulate up to 50 pounds and occasionally team lift up to 100 pounds.

  • Provide assistance to reduce or eliminate workplace hazards.
  • Comply with company drug testing policies and procedures.
  • Comply with company Personal Protective Equipment (PPE) policies. OrePac will provide required PPE to employees.
