Position Overview :
The Patient Care Coordinator is a vital member of the Rheumatology team at OrthoArkansas, dedicated to ensuring a seamless and exceptional patient experience. This role combines financial counseling expertise with outstanding customer service, supporting patients from check-in to coordinating financial responsibilities, all while fostering a welcoming and efficient clinic environment.
Key Responsibilities :
1. Patient Interaction and Check-In / Out :
- Greet every patient with a warm, friendly smile to create a positive first impression.
- Efficiently check patients in and out while ensuring accurate documentation and smooth workflows.
- Collect copays, outstanding balances, and verify referrals when necessary.
- Update and add patient demographic information as required.
2. Financial Counseling and Insurance Coordination :
Build insurance packages, validate benefits, and verify patient eligibility for new and existing patients.Coordinate infusion authorizations / precertification's, working with internal and external organizations and insurance companies.Present medical information, including history, diagnosis, and prognosis, to financial services to maximize provider reimbursement.Calculate patient due portions based on verified benefits and communicate payment expectations to patients.Educate patients about payment options, financial assistance programs, and copay assistance validation.Process outside infusion referrals while ensuring all prior approval requirements are met.3. Administrative and Billing Support :
Gather, organize, and process charge tickets, including faxing and scanning.Review payment records for patients and third-party payers, ensuring proper fee collection.Handle inquiries related to patient accounts from staff and patients.Ensure accurate completion of assigned tasks in the Electronic Health Record (EHR) system.4. Communication and Coordination :
Answer and return phone calls and voicemails promptly.Collaborate with clinical staff regarding late patients or other delays that impact readiness for care.Ensure smooth coordination with patients, clinical staff, and external organizations to maintain clinic efficiency.5. Additional Duties :
Perform any other related duties as required or assigned to support the overall success of the clinic.Qualifications :
Education and Experience :
High school diploma or equivalent required.Minimum of 1 year experience in a customer service role, preferably in a healthcare setting.Previous experience in financial counseling, medical billing, or related areas is a plus.Skills and Abilities :
Excellent verbal and written communication skills to interact professionally with patients, staff, and insurance providers.Strong organizational skills with attention to detail for managing multiple tasks and responsibilities.Proficiency in using standard office software (Microsoft Office Suite).Familiarity with Electronic Health Record (EHR) systems is preferred.Knowledge of insurance carriers, benefits coordination, and patient assistance programs is advantageous.Additional Details :
