Administrative & Physician Support:
Looking to add a valued team member for a full time position in our Orthopedic Hand Surgeon’s office is located in Newport Beach. We are looking for a highly organized, proactive, and customer-service-oriented Medical Front Desk Receptionist & Office Manager to manage day-to-day office operations while overseeing front desk tasks and providing essential support to our medical team. The ideal candidate will have a strong background in administrative functions, patient interaction, and a passion for improving office efficiency. You will play a key role in ensuring smooth office operations, handling patient inquiries, managing schedules, and supporting billing and insurance processes.
Key Responsibilities:Front Desk & Administrative Duties:
- Answer and manage phone calls, ensuring prompt and courteous service.
- Print fee tickets and schedules for daily patient appointments.
- Return phone messages and respond to patient inquiries.
- Open and distribute all incoming mail and faxes.
- Check in/out patients and ensure all necessary information is documented.
- Schedule patient appointments and manage any reschedules or cancellations.
- Input patient information into PM and EMR computer systems.
- Verify insurance coverage and assist with any related inquiries.
- Batch charges, process over-the-counter payments, and mail payments to the appropriate parties.
Workers' Compensation (Work Comp) Duties:
- Obtain authorizations from adjustors and attorneys for patient treatment.
- Coordinate jointly signed letters and records for Med Legal appointments.
Management & Miscellaneous Duties:
- Maintain current and accurate information in both computer systems.
- Manage patient charts from an outside storage facility.
- Prepare new patient packets.
- Order and track office supplies and medical materials.
- Manage staff scheduling, lunch breaks, and ensure adequate office coverage throughout the day.
- Fill in for staff roles as needed, especially during peak times, to ensure continuity.
- Schedule vacation time and manage office coverage to minimize disruptions to patient care and physician productivity.
- Recruit, train, evaluate, and supervise staff, including conducting annual performance evaluations.
- Maintain accurate payroll time records and personnel files.
- Enforce written personnel policies and procedures.
- Ensure proper handling and deposits of all practice-related payments.
Patient Interaction & Customer Service:
- Counsel surgery patients regarding fees, payment options, and insurance coverage.
- Handle patient complaints, suggestions, and ensure excellent patient service.
- Update and maintain educational materials for patients.
Administrative & Physician Support:
- Maintain hospital privileges, licensure files, and keep track of calendar dates.
- Act as the point of contact for professional liability issues.
- Act as a direct communication link between the office and physician.
Job Type: Full-time
Pay: $18.00 - $23.00 per hour
Expected hours: 32 – 40 per week
