Location: Remote

Security Clearance: Secret clearance required to apply

Position Description:

The Administrative Specialist will provide critical operational support to various Divisions, Branches, and Sections within AFWERX. This role involves managing administrative functions, coordinating communications, and ensuring efficient execution of organizational tasks in a remote setting. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple priorities in a fast-paced environment.

Duties:

  • Provide operational support across Divisions, Branches, and Sections, ensuring smooth day-to-day functions.
  • Coordinate and communicate with internal and external organizations through various communication methods.
  • Assist in developing and processing reports, written communications, and coordination packages.
  • Support the digital administration of surveys.
  • Manage and maintain calendars and schedules, including modifications as necessary.
  • Assist with Electronic Records Management activities.
  • Plan, coordinate, facilitate, and execute organizational meetings, including room reservations and seating arrangements (as applicable).
  • Track, monitor, and report task assignments and suspenses, ensuring timely completion.
  • Provide comprehensive travel management support.

Required Skills & Qualifications:

  • Experience: Proven experience in administrative support, operations, or a related field.
  • Communication: Strong written and verbal communication skills, with the ability to interact professionally at all levels.
  • Organization & Coordination: Ability to manage multiple priorities, track deadlines, and facilitate smooth operations.
  • Technical Proficiency: Experience with digital tools for survey administration, scheduling, and document management.
  • Security Clearance: Active Secret clearance required.

Preferred Qualifications:

  • Experience supporting government or military organizations.
  • Knowledge of Electronic Records Management and task-tracking systems.
  • Familiarity with AFWERX or similar defense innovation programs.

Work Environment & Conditions:

  • Remote Position: This role is fully remote, requiring reliable internet access and a suitable workspace.
  • Standard Work Hours: Monday–Friday business hours, with flexibility to accommodate mission needs.
  • Travel: May require occasional travel for meetings or organizational support.

Other Essential Functions:

  • Must maintain professionalism in all interactions and communications.
  • Must be able to manage sensitive information with discretion.
  • Must be adaptable to a dynamic and evolving work environment.
