Description
Responsible for various administrative tasks, including answering phones, managing files and records, handling mail, data entry and assisting with daily office operations.
ESSENTIAL FUNCTIONS:
1) Managing files and records: organizing, filing and retrieving documents both physical and digital.
2) Data Entry: entering and updating information into databases and spreadsheets
3) Basic correspondence: typing, formatting and submitting routine emails and reports
4) Assisting with office operations: ordering supplies, maintaining office equipment and ensuring the office is organized and clean.
5) Answering phones: taking calls and screening client’s calls
6) Deliver meals for Meals on Wheels as needed.
7) Greeting visitors: welcoming clients and visitors to the agency
8) Other duties as assigned that are applicable to job description including to assist in times of disaster as needed.
OTHER RELATED FUNCTIONS:
HOURS OF WORK: Full-time 40 hours weekly – office open 8:00 am to 5:00 pm, flex-time with supervisor’s approval. May require some evening, weekend, or Holiday hours for special projects. Employee must be able to work off-site at any of the locations in the Planning and Service Area.
Requirements
Education/Training: High School Diploma or GED. Ability to read and write, carry out written and verbal instructions and complete required reports. Bilingual in Spanish/English preferred.
Licensure/Certification: Food Handlers Certification within six months
Experience: Minimum one year of experience in office work preferred. Must have a valid Florida Driver’s license and reliable vehicle. Proficient in Microsoft Office Suite.
Interpersonal Skills: Must have excellent interpersonal, communication and organizational skills and the ability to work with a wide variety of groups and individuals. Strong customer service skills.
Essential Technical/Motor Skills: Sufficient skills to be able to read and write effectively.
Essential Mental Abilities: Knowledgeable and competent to perform all essential functions. Strong attention to detail for accuracy in data entry and record keeping
Essential Sensory Requirements: Ability to visually and audibly perform all essential functions.
Essential Physical Requirements: Must be able to sit for long periods of time. Sufficient mobility and strength to move about the facility and the community, have corrected vision and hearing to the normal range. This position may requires the ability to stretch, push, pull, kneel, reach, twist, list unassisted a minimum of 35 pounds, and walk or stand up to 8 hours.
