Summary:
We are seeking a motivated and energetic self-starter with a can-do attitude to join our team as an Office Administrator. In this pivotal role, you will oversee and manage all aspects of our corporate office operations. The ideal candidate will thrive in a dynamic work environment, demonstrate flexibility, and exhibit strong organizational and communication skills to ensure seamless office functionality. This position oversees office event coordination and collaborates with the Marketing Communications Coordinator and team to support corporate events and meetings. The Office Administrator's primary responsibility is to manage administrative tasks to ensure the office operates efficiently.
Primary Job Duties & Responsibilities:
- Serve as the first point of contact for visitors, ensuring a professional and welcoming reception experience.
- Manage building operations, including coordinating with property management, and overseeing office maintenance in a timely fashion.
- Coordinate and maintain office supply inventory to ensure smooth day-to-day operations.
- Handle incoming and outgoing mail and package deliveries efficiently.
- Answer and direct phone calls professionally and promptly.
- Organize travel arrangements, reservations, and hotel bookings for executives.
- Plan and execute office events in collaboration with the Marketing Communications Manager and marketing team.
- Support the coordination and logistics of corporate meetings and events.
- Perform general administrative duties to maintain a productive and well-organized office environment.
Minimum Education and Qualifications:
- Proven experience in office administration role.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in office software, including Microsoft Office Suite (Word, Excel, Outlook).
- Ability to adapt and thrive in a fast-paced, dynamic environment.
- Detail-oriented with the ability to manage multiple priorities effectively. Strong interpersonal skills and a professional demeanor.
Physical Demands and Work Environment:
- This role is performed in a professional office setting.
- Appropriate business casual office attire is required.
- Ability to sit at a computer workstation for extended periods.
- Capability to navigate multiple flights of stairs to manage mail and package deliveries.
- Must be able to lift and carry boxes containing supplies and deliveries.
- Reliable transportation is required for off-site errands, including supply and food pickups.
