Job Summary:
Responsible for the overall operation of Materials Management. Assists in establishing policies and procedures and provide administrative support to Director of Materials Management for developing and maintaining a positive work environment that promotes Oswego Health's mission and values. The position requires strong analytical and organizational skills as well as the ability to be flexible with changing needs and deadlines
Duties/Responsibilities:
Supervision and Leadership:
- Provides direct oversight to the Storeroom Coordinators and Purchasing Coordinator including scheduling and time approval
- Determines the qualifications of department personnel, reviews and/or completes annual performance evaluations. Develops necessary education needs of employees.
- Encourage staff participation and coach employees to meet personal and organization goals
- Maintains current knowledge of regulatory policy changes impacting processes and procedures and educates employees as necessary
- Develop training programs for external customers for internal ordering processes
Inventory Management:
- Responsible to the Director of Materials Management compliance for all inventory operations and support across distribution channels
- Oversight to Receiving, Distribution, and Warehouse functions
- Establishes par levels throughout inventory locations
- Schedule and review cycle count to enhance inventory accuracy
- Maintain inventory control insuring accurate data in Meditech system and maintenance of Item Master File
Contract and Vendor Management:
- Responsible to the Director of Materials Management for insuring member compliance for purchasing through the Premier Purchasing Group Alliance, monitoring, and streamlining the supply Chain by standardization, and consolidation resulting in Cost savings
- Works in conjunction with GPO to identify contracts
- Maintains existing contracts and activates contracts as necessary
- Oversight of the maintenance of exclusion checking for vendors
Other:
- Determines the qualifications and competence of departmental personnel. Reviews all employee performance evaluations and annual education requirements prior to supervisor's review with the employee.
- Ensure accurate posting of supplies, verify invoices, review and process Purchase Orders to ensure proper closing of Purchasing and Inventories for month end closing.
- Develop and maintain departmental policies and procedures to assist and facilitate effective operations. Reviews and updates policies and procedures as necessary.
- Interpret, communicate and enforce Hospital policies and procedures. Encourage staff participation and coach employees to meet personal performance and departmental goals.
- Comply with Hospital, State, and Federal governmental rules and regulations, policies and procedures, and related reporting requirements.
- Performs other duties as assigned by supervisor.
COMMUNICATION AND GUEST RELATIONS:
- The ability to interact and communicate both verbally and in writing with all levels of personnel and outside professionals is a must.
- Demonstrates behaviors consistent with senior management values, management expectations, and service standards.
Education and Experience:
- Bachelor's degree in Business, Healthcare or related field preferred.
- Minimum of 5 years of supply chain experience with preference to prior hospital experience.
Working Conditions:
- Ability to coordinate multiple demands on time.
- General office setting.
- Subject to irregular hours.
Pay Range: $70,000-$80,000/Annual
Employee salary is based on commensurate experience and other qualifications.
