JOB SUMMARY
Responsible for managing the program admission, enrollment, and outreach to PA program applicant activities. This position will manage the admission funnel from prospective applicants to the matriculation of admitted applicants. Ensure program follows the policy and procedures of the online admissions management system. Organize and participate in internal and external recruitment activities. Coordinate tours of the program's facility. Duties are performed with excellence and attention to detail while aligning with the program's mission, vision, values, goals, and competencies.
ESSENTIAL FUNCTIONS OF THE JOB
- Manager and operator of admissions programming, recruitment for PA Program, and operate the online admissions management system.
- Plan, organize, execute, and represent the program at recruitment and admission events (e.g., guided campus tours and virtual information sessions) to support the goal of the admission process and strategic recruitment efforts.
- Participate in and represent the PA program at internal and external recruitment events (e.g., panels, pre-health advisors, virtual and in-person fairs).
- Work with the university and program faculty to develop strategic partnerships to support recruitment and admission efforts aligning with the PA program’s mission and vision.
- Plan and execute incoming matriculants' orientation week.
- Co-chair the PA program’s admission committee.
- Coordinate all aspects of the admissions process. Including but not limited to : advising prospective applicants on the admission process, policies, and prerequisites; review applications through admission online system for completeness of required admission requirements; prepare and share applications with the program’s admission committee for review, send invitation letters to applicants for interviews, coordinate interviewing orientation; schedule applicants and interviewers for the day of the interview; collaborate with the program faculty and staff in coordinating all activities for the day of the interview and gather all the data from the day of the interview and share with the PA program’s admission committee.
- Recruits and enrolls students into Ottawa University’s PA Program by using effective enrollment management sales techniques and excellent customer service skills.
- Contacts prospective students to conduct via the telephone a professional college advisory session (student interview).
- Send out admission notifications, the waitlist, and non-admittance to applicants.
- Maintains communication with prospect via email and telephone to ensure timely response to questions and to obtain and process all appropriate paperwork to complete enrollment process prior to start.
- Manages the process for decision making related to each prospective student’s entry into Ottawa University. Requires evaluation of prospective student transcripts and assessment of hours that will be transferrable for each student. Will have knowledge of the University organization, structure, HLC standards, FERPA and agreements with other educational institutions. Will understand programs and systems to be able to effectively assist students toward a program that will successfully meet degree requirements. Final approval and assessment of transcript must be confirmed by the University Registrar’s office.

- Liaison with the appropriate university’s offices, such as the Registrar, Financial Aid, and Office of Student Affairs. Work with the university and program faculty to develop strategic partnerships to support recruitment and admission efforts aligning with the PA program’s mission and vision. Send out admission notifications, the waitlist, and non-admittance to applicants.
- Collaborate with the university’s marketing and website personnel on the PA program’s website and marketing materials.
- Collaborate with the Chief Enrollment Officer as required by the university’s policy.
- Other duties as assigned

REQUIRED EDUCATION : Minimum bachelor’s degree (master’s degree preferred) in education, business administration, marketing, management, or a related field.
REQUIRED EXPERIENCE : None, prefer at least 1 year related professional experience in higher education.
