Receptionist
Reports To: Executive Operations Manager
Job Summary: Our Lady of Mercy Community Outreach is seeking a friendly and enthusiastic Front Desk Receptionist to join our Downtown Charleston team and to help support departmental and administrative needs of the organization. This position is the face of the organization and is the first person our neighbors see when they walk through our doors for assistance. The primary responsibility of this positions is to provide excellent customer service, manage the reception area efficiently, and support the organizations administrative functions.
Duties:
· Greet and welcome visitors in a professional and friendly manner
· Ensure a positive and welcoming atmosphere in the reception area
· Direct people to the appropriate team member
· Assist with incoming donations
· Manage incoming phone calls and direct them to the appropriate person or department
· Take messages and provide basic information to callers
· Handle general inquiries and practice one call resolution practices
· Coordinate and confirm appointments for the Outreach team
· Assist with general administrative tasks, including photocopying, scanning, and filing
· Handle incoming and outgoing mail and packages
· Collaborate with other administrative staff to ensure smooth office operations
· Ensure reception area is tidy and presentable, with all necessary materials needed (stationary, pens, forms, brochures)
· Perform data entry tasks with accuracy and efficiency
· Have the ability to improve processes
· Support and manage special assignments and projects as needed (such as mailings and thank you letters)
Qualifications/Skills:
· Previous Customer Service or administrative experience in a high-volume environment
· High level of organization and attention to detail
· Strong communication and interpersonal skills
· Highly skilled in Microsoft applications
· Ability to work independently/self-motivated with effective time management skills
· Ability to speak to people from a wide range of backgrounds
· High attention to detail and accuracy, with excellent follow-up skills

FLSA Status: Part-time, Hourly employee
Physical Demands/Work Environment: Work is performed in a fast‐paced and sometimes stressful, professional office environment with noise moderate levels. Position requires employee to effectively use a computer at a work station for long periods of time and to accommodate potentially frequent interruptions. Must be able to lift 15 – 25 pounds.
Schedule: Business hours are Monday through Friday, from 8:30 a.m. to 4:30 p.m. Our standard work hours may vary based upon position requirements. Additional hours may be required during peak times, which may require an adjusted work schedule.
