Job Summary:
Responsible for providing secretarial and clerical support for the Facilities Management office. Under direction from the office manager and Director of Facilities Management assists in managing the daily operations in the department. Reports to the Office Manager.
Essential Functions:
- Greets and assist visitors, answers phone and performs receptionist duties.
- Processes work orders and maintain work order system and logs and other databases.
- Handles purchase orders and maintains record keeping (Excel) of the budgets.
- Orders supplies, maintains inventory of materials and supplies.
- Updates/programs cell phone equipment as needed.
- Handles and directs emergency maintenance requests.
- Provides general administrative support to the Facilities Management staff, supervisors and assists with operation of the Post office and switch board.
Additional Duties:
- Other duties assigned.
Job Requirements:
Knowledge, Skills, and Abilities:
- Ability to handle and manage multiple priorities effectively.
- Ability to use independent judgment and work independently.
- Excellent verbal, written, and interpersonal communication skills.
- Proficient in Windows based office programs such as Word, Excel and Access.
- Excellent customer service skills.
- Experience in handling confidential and sensitive information.
- Knowledge of office equipment-facsimile, copy machine, scanner.
- Familiar with or ability to learn to use Colleague Administrative System.
- Ability to work with a diverse population of student, faculty, and staff.
Education and Experience:
- One-year administrative support experience required.
