Job Summary:
This position reports directly to the Title V DHSI STEM Director. The Administrative Assistant provides administrative support to staff, faculty, and administration working to meet Title V DHSI STEM objectives. This individual must demonstrate the ability to multi-task, computer competency, excellent communication, and interpersonal skills. The position is dedicated 100% to Title V DHSI STEM activities and the position is grant-funded through the Department of Education (DOE).
Essential Functions:
- Responsible for performing the administrative, secretarial, clerical, and supportive tasks in order to provide efficient, friendly and courteous service to students, faculty, staff and other constituents
- Assists with budget operations which may include: check and cash requests, budget transfers, purchase orders of office, lab, instructional supplies, equipment, and services, credit card allocations and monthly reports, deposits, reimbursements, travel authorizations and expense reports, budget files, expense forecasting and tracking budgetary information via on-line software tool.
- Assists the Title V DHSI STEM Director in any reporting processes that may be undertaken.
- Maintains supplies and files for Title V DHSI STEM grant.
- Serves as the liaison with IT and Physical Plant to ensure technical support and maintenance occurrences.
- Prepares correspondence to students, staff, and faculty.
- Enrolls and supervises work-study and grant funded student workers.
Additional Responsibilities:
- Coordinates venues and catering contracts for meetings and functions as needed.
- Coordinates office moves as needed.
- Performs all other duties as assigned.
Job Requirements:
Knowledge, Skills, and Abilities:
- Excellent verbal, written and personal communication skills.
- Ability to work independently yet seek assistance and report progress as necessary.
- Skillful in handling confidential information and sensitive situations.
- Excellent computer application skills (e.g. MS Office-Outlook, Word, Excel) and proficient in OLLU's Colleague administrative computer system.
- Project an appropriate professional appearance and demeanor.
- Must have excellent knowledge of general office practices, procedures, and office equipment.
- Sufficient mobility to make deliveries to and from other offices on campus.
Education and Experience:
- Associate's degree or secretarial training preferred.
- Minimum of two years' secretarial/administrative experience required.
- Experience working in higher education and providing administrative support to upper-level management preferred.
