Administrative Assistant/Receptionist
TITLE: Administrative Assistant/Receptionist
REPORTS TO: Office Manager
SUPERVISES: Oversees volunteers for shifts at front desk
HOURS: Part-Time, 20 hours per week, 9:00 am – 2:00 pm {Monday-Thursday} (non-exempt)
SUMMARY STATEMENT
Our Savior’s Lutheran Church is a wonderful faith community with generous members and a rich history of making a big impact on the larger community through outreach. We have a big vision to share our terrific facility with other organizations that are doing good for others in the Greater Rockford Community.
It is essential that this person is a self-starter who gets excited working to manage details and assisting with processes for organization and efficiency while working with staff and volunteers to complete a variety of organizational office tasks. They will be knowledgeable on all church happenings to help be the communication hub between staff, volunteers and community partners. Must be proficient in Microsoft and Google tools for creating a variety of documents. While managing multiple different responsibilities they bring a joy to those they interact with on the phone and in person.
PRIMARY RESPONSIBILITIES AND DUTIES
- Oversees answering and screening all incoming calls, routing them to the appropriate staff member when available and taking messages as needed. (There will sometimes be volunteers to assist with this, when not this position is primary).
- Oversees welcoming all members and visitors during office hours (when a volunteer is not at the reception desk) and connecting them to the appropriate staff person or other needs.
- Responds to all mail correspondences and distributes to appropriate staff and volunteers. Will also create letters and oversee all mailings.
- Maintains an orderly and clean office and filing system.
- Supports the Facilities Coordinator, Office Manager and Director of Outreach and Connections in overseeing the church’s schedule.
- Creates weekly bulletins and other needed bulletins.
- Prints weekly bulletins, announcements, monthly newsletter and all other mailings.
- Creates and prints all posters and sign-ups for the welcome center.
- Maintains the church database with member contact information and notes, including pulling queries for mailings and other data as needed for ministry.
- Manages worship attendance including new visitor information and all prayer requests.
- Manages office supplies and keeps track of inventory, and buys more as needed.
- Calls hospitals Monday-Friday and sends email with updates on any members in hospitals to pastors and Stephen ministers.
- Creates and sends weekly staff meeting agenda.
- Sends monthly council meeting reminder and maintains all council documents on the server.
QUALIFICATIONS
- Experience in an Administrative Assistant position (preferred, not required)
- Proficient in Microsoft Suite and Google Workspace tools
- Database Management experience
- Excellent with details and follow through on a variety of tasks and amid other distractions must be able to meet all deadlines
- Exhibit excellent written, verbal, interpersonal and problem-solving skills.
- Personally motivated with a desire to help others plan and accomplish needed tasks
- Eager to be a part of team with other staff and volunteers
- Demonstrate the spirit of Christian hospitality through energetic caring, active listening and positive interactions with members and guests.
- Experience in a church (preferred, not required).
- Able to maintain confidentiality of all church related business both on and off the job.
HOURS, COMPENSATION AND BENEFITS
This is a 20 hour a week position, 9:00 am – 2:00 pm {Monday-Thursday}, with some room to vary with supervisor approval.
Compensation is $17/hour.
