TITLE: Bulk Packaging Department Assistant DEPARTMENT: Hub
STATUS: FT, Assistant, Union, Hourly REPORTS TO: Hub Manager
JOB SUMMARY: To ensure the highest level of service possible to Outpost’s internal and external customers. Maintain the operations and service of Hub distribution. Supervise and motivate hub staff to uphold high standards in the department. Ensure a well maintained, clean, and efficient hub bulk packaging kitchen and warehouse.
WORK ENVIRONMENT: Regular work near moving mechanical parts (i.e. baler, dock equipment) and high precarious places (i.e. ladder work). Ability to work in moderate and loud noise environments including, but not limited to: computers, telephones, human voices, and machinery.
ESSENTIAL DUTIES AND RESPONSIBILITES:
1. Customer Service
Treat people fairly, consistently, and with respect.
Ensure efficient, informative, and friendly service according to established customer service vision and standards.
2. Hub Department Responsibilities
Department Operations
Assist in developing regular production schedule and assign staff production tasks and priorities. Ensure that staff maintains an efficient production pace.
Work with staff to ensure that proper kitchen systems and recordkeeping are being utilized and make corrections when not.
Practice and model established quality, storage and labeling standards for food handling and preparation and ensure staff participate in keeping it so.
Communicate continuous improvement opportunities to department leadership.
Implement weekly and quarterly cleaning schedule.
Pre-pack bulk food items and accurately label products for transfer.
Oversee, troubleshoot, and maintain product transfer and packaging systems.
Pull and assemble orders to fulfill store department needs.
Work with Hub Manager to manage hub inventory on hand and ensure 95% of products ordered are delivered.
Coordinate with department leadership to assign tasks for overall department needs.
Properly record and process losses, credits, transfers and returns.
Ensure warehouse and kitchen are kept clean, neat, and free of debris.
Communicate with appropriate contacts for replacement / equipment needs.
Attend department meetings as scheduled.
Ordering and Receiving
Assist in accurate and thorough inventory control including: receiving standards, loss recording and live inventory maintenance.
Order from vendors as assigned to ensure product par levels are maintained under advisement of hub leadership and category manager.
Receive and process deliveries and invoices in a timely manner and ensure proper product rotation.
Ensure proper handling of products for safe and quality product.
Report problems with product and/or suppliers to Hub Manager.
Personnel
Assign daily tasks to hub kitchen staff and ensure they are always busy.
Positively encourage department staff to excel at their job.
Provide training assistance, guidance and motivation and properly answer staff questions.
Provide staff schedule recommendations to department leadership
Ensure hub staff is following department standard operating procedures (SOPs).
Assist department leadership with policies and procedures changes, and employee job performance evaluations.
Other
Proficiency in department Journeyperson and Clerk job description duties.
Perform supplemental department leadership duties as needed (i.e. in someone’s absence).
3. All Staff Duties
Abide by all Co-op policies and procedures as outlined in the Employee Handbook and other company documents.
Keep department orderly and clean.
Maintain a positive attitude.
Perform all other duties as assigned by Hub Manager or supervisory staff.
KNOWLEDGE, SKILLS, ABILITIES:
Outstanding customer service skills
Effective communication, reading and comprehension skills in English
Bulk foods knowledge and a basic understanding of the natural foods industry
Experience with stocking, ordering, and receiving in a retail or warehouse setting
Experience with delegating work duties, training and motivating staff in a high-demand environment
Attention to detail and good organizational skills
Ability to handle multiple demands and work under time pressures, and follow through on systems, procedures and policies
Willingness to be open, to learn, and cross-train to cover department responsibilities
Demonstrate objectivity, neutrality, and calmness under pressure
Competency in Microsoft Excel and Word, and progressive knowledge of Catapult
Regular, predictable attendance
ESSENTIAL PHYSICAL REQUIREMENTS:
Standing, walking, bending, sitting, reaching
Using hands or fingers to handle or feel
Specific vision ability: close vision, distance vision, depth perception, and adjust focus
Ability to climb up and down ladders
Regular use of sharp cutting instruments
Ability to lift up to 80 lbs.
