What are the responsibilities and job description for the FT Bilingual Administrative Assistant position at Outreach Development?
Outreach is seeking a qualified candidate for the position FT Administrative Assistant to work at 998 Crooked Hill Road, Brentwood, NY. The Administrative Assistant is responsible for providing program support in an overall effort to ensure the efficient and effective operation of administrative functions, including reception and client screening / engagement, data collection and storage, client insurance verification and front end revenue.
What You Will Do :
Respond to administrative support needs of the Director and Assistant Director of Bellport Outpatient Programs.
Provide information to prospective clients and their parents / referral sources regarding the Adolescent Outpatient & Adolescent Aftercare program, including Spanish speaking families
Providing administrative support services such as answering phones, conducting phone screens, scheduling appointments, filing, confirming intakes, taking billing and insurance information, inputting data into client billing systems and preparation of weekly and / or monthly reports.
Prepare AFY voucher and month numbers at the end of each month and forward to Director.
Assisting Adolescent Coordinator for Brentwood Satellite FINS program in insurance verification, insurance tracking, billing and inputting of information into billing and / or other tracking systems.
Data entry and updating internal client files.
Providing general information to prospective students regarding the Outreach Training Institute.
Maintaining inventory of and preparing orders for office / kitchen supplies, monitors office equipment, monitors space issues in the building including closets and file drawers and rearranges items to ensure efficient use of space and maintain orderliness.
Who You Are :
- Minimum of High School Diploma or GED.
- Previous administrative assistant or customer service experience
- Strong Microsoft Office (Excel, Word, PowerPoint) skills a must.
- Strong communication skills.
- Strong analytical skills and ability to think strategically.
- Attention to Detail.
- Strong Customer Service Skills
- Bilingual Spanish required
- Must be able to work required schedule : Mon-Fri 6 : 30am-2 : 30pm
