Logistics Coordinator INTERN

POSITION OBJECTIVES:
The Logistics Coordinator INTERN prepares routes and manages purchase orders. The main duties include receiving the purchase orders, reviewing the details and coordinating the transportation to ensure shipment arrives within the requested delivery time window. The position also involves monitoring of the freight, communicating with the Project Manager and customers, as well as validating the shipment costs and ensuring route efficiency.
This position involves a great deal of flexibility, strong communication skills and the ability to react quickly.

ESSENTIAL JOB FUNCTIONS
- Reception of customer orders, validation of prices and quantities/ coordination with Sales team
- Creation of sales invoices and/or Purchase orders
- Creation of warehouse release
- Organize transportation with providers to ensure prompt and proper movement of shipments between suppliers, warehouses and final place of deliveries.
- Communicate with customers about inquiries and confirm status and potential delays. Advising Project Manager if any issue to guarantee good communication flow
- Reviewing shipping documents to ensure accuracy, enter in ERP all information and invoice customers.
- Making special shipping arrangements as necessary, substituting carrier if issue and reacting fast in case of delays in communication and rebooking transport.
- Tracking and monitoring of the containers and trucks, with carriers or terminals, freight forwarders or brokers. If custom clearance applicable, verify status.
- Enter invoices and submit to customers with shipping documents.
- If shipment to warehouse, monitor receiving documents and finalize receiving process in ERP. Disclose any discrepancy.
- Ensure lots # are entered properly for traceability.
- Work with Inventory specialist to prepare end of the month inventory report.
- Claim follow up with customers/ truckers.
- Inventory monitoring and replenishment with Sales team
- Prioritize and manage e-mails, tasks, and desk responsibilities effectively. Regular check-ins with your manager to prioritize workload.

JOB QUALIFICATION STANDARDS
The following describes the general qualifications and physical, sensory, and mental abilities normally associated with performing the essential functions of this position.
Education and Experience:
- Two-year degree or bachelor's degree, in business, logistics or related field preferred.
Knowledge and Skill Requirements/Specialized Courses and/or Training:
- Strong command of Microsoft 365, in particular Excel and ERP system.
- Understanding of the supply chain, including common obstacles and effective solutions
- Knowledge of Import / Export logistics, and International Trade environment, a plus
Language and Communication Skills:
- Effective communication, including writing, speaking and interpersonal communication.
- Strong relationship building and customer service skills.
Physical, sensory, and motor demands:
Frequent standing and sitting. Intermittent squatting, bending, twisting, lifting. This position requires excellent visual acuity and auditory sense. The noise level in the work environment is usually quiet.
