FUNCTION
The Food & Beverage Buyer / Admin is responsible for managing inventory, purchasing, and administrative support for the Food & Beverage department. This includes ensuring timely procurement of supplies, maintaining stock levels, negotiating with vendors, processing purchase orders, and tracking expenditures. This role also supports the team with administrative tasks such as filing, record-keeping, and maintaining accurate databases.

- Procures food, beverages, and related supplies for the facility’s restaurants, bars, and other outlets, ensuring optimal stock levels.
- Reviews and processes purchase orders, obtaining approval as necessary.
- Identifies reliable vendors, negotiates pricing and contracts, and maintains positive vendor relationships.
- Tracks inventory and ensures that all stock is kept at appropriate levels, placing new orders as required.
- Ensures that deliveries meet established quality standards, including inspecting items for damage, quality, and quantity.
- Works with the F&B team to forecast inventory needs and maintain inventory turnover.
- Maintains accurate and up-to-date records of all transactions, orders, and deliveries.
- Prepares and submits regular reports on inventory, purchases, and spending.
- Coordinates with the F&B Manager to ensure purchases are aligned with menu planning and event needs.
- Processes invoices, tracks payments, and ensures accurate billing for purchased goods.
- Assists in preparing and maintaining budgets for the F&B department and monitors expenses to ensure compliance.
- Manages all administrative functions of the Food & Beverage department, including filing, data entry, and maintaining a well-organized system.
- Coordinates with other departments as needed to fulfill special requests or events.
- Assists with the implementation of new F&B initiatives and improvements.
- Contributes to a team effort and accomplishes related results as required.
- Performs other duties as assigned.
