The Role
The Licensing Specialist is responsible for researching, data collection, and maintaining compliance for the licensing process. This includes jurisdictions across the United States. This position will also manage other company-required documents to assure compliance, including insurance ACORD forms.
Responsibilities
The essential functions include, but are not limited to the following :
- Timely research and preparation of applications of licenses for various jurisdictions serving authorities, internal departments, and customers throughout the US.
- Prepare application paperwork and submit as needed, both online and mailings. This includes payments.
- Assist in coordination with license / permit authorities, internal departments and for clients to fit our business needs, ensure timely collection of supporting documents.
- Track licenses required to operate in jurisdiction and for renewals.
- Run reports to ensure that all available licenses are in the appropriate status and step in the approval process.
- Coordinate with construction and project teams to ensure proper close-out of projects and follow-up on final inspections, punch lists and applicable refunds.
- Communicate with municipalities about deficiencies that need to be resolved.
- Review certifications of insurance for jurisdictions including special forms
- Coordinate contract project bonding (bid bonds, payment & performance bonds, labor & material bonds, guarantee bonds), maintain a schedule and run reports to monitor renewals and a consent of surety where needed for close out.
- Maintain a knowledge base of pre and post project submittal documentation obtained from vendors (MSDS sheets, tank charts, O&M manuals, etc.)
- Perform other duties as assigned.
