POSITION SUMMARY
The Key Account Billing Specialist, reporting to the Billing Supervisor, plays a key role in financial operations by managing the billing and invoicing processes for high-value clients, ensuring accuracy, timeliness, and compliance with contract terms. This role is responsible for managing complex billing processes, ensuring accuracy in invoicing, resolving disputes, and maintaining strong relationships with key accounts. The ideal candidate will have a deep understanding of billing procedures, excellent analytical skills, attention to detail, and a customer-centric approach to problem-solving.
RESPONSIBILITIES
- Manage end-to-end billing processes for key accounts, ensuring accuracy and timeliness.
- Generate and review invoices for key accounts to ensure accuracy and compliance with contract terms.
- Generate detailed billing reports and provide insights to management on trends and opportunities for optimization.
- Maintain detailed records of billing transactions, contracts, client communications, and account specific agreements for key accounts
- Serve as the primary point of contact for clients and internal teams regarding billing inquiries, adjustments, and disputes; investigate and provide detailed explanations as necessary and resolve issues in a timely and professional manner.
- Maintain Purchase Orders to ensure accuracy and timely processing
- Partner with collections to analyze and resolve discrepancies between billing, revenue and paymentsHandle research requests for detail/documentation as needed.
- Provide support to sales and operations in achieving financial goals and customer satisfaction
- Identify opportunities to streamline billing processes and improve efficiency
- Other duties as assigned
QUALIFICATIONS
- Bachelor’s degree in Accounting, Business Administration or related field
- 3-5 years of experience in a billing department, preferably in with key accounts in staffing, consulting or professional services
- Excellent organizational skills
- Ability to analyze billing issues, troubleshoot discrepancies, and implement solutions
- Strong interpersonal and communications skills with the ability to maintain positive relationships with clients and internal teams
- Proficiency in billing software, ERP systems, and Microsoft Excel
- PeopleSoft experience a plus
- Experience in VMS Portals (i.e. Fieldglass, Ariba, Coupa) a plus
- Self-motivated to meet deadlines, multitask and prioritize
- High attention to detail and accuracy in a fast-paced environment.
