The Benefits HRIS Specialist is a key member of our Human Resources team, responsible for comprehensive administration of employee benefits, including health and wellness programs, 401(k) plans, and additional benefit offerings. This position manages benefits administration in ADP Workforce Now and supports HRIS projects, onboarding, offboarding, compliance, and open enrollment processes. This role also plays an active part in mergers and acquisitions (M&A) integrations, collaborating with HR and finance teams to ensure accurate data and smooth transitions. Key Responsibilities
· Benefits Administration:
o Oversee employee benefit programs, including medical, dental, vision, life insurance, disability, and 401(k).
o Support overall HR administration, ensuring efficient processing of benefits and coordination with payroll (Finance) and People Org partners.
o Administer and process FMLA/LOA requests, ensuring employee and manager communication and compliance with regulatory requirements.
o Coordinate health and wellness campaigns, managing resources and communication via email and portals.
· 401(k) Plan Management:
o Manage the company’s 401(k) plan, ensuring compliance with ERISA and IRS guidelines.
o Assist employees with 401(k) inquiries, enrollments, distributions, and loans, coordinating with the 401(k) provider on audits and compliance.
· HRIS & System Management (ADP Workforce Now):
o Serve as the ADP Workforce Now subject matter expert, supporting benefits configuration, troubleshooting, and HRIS-related inquiries.
o Research, analyze, and propose solutions for HRIS process enhancements; oversee HR Systems project requests and system improvements.
o Partner with Technology, Benefits, and Compensation teams to streamline and maintain HR systems and applications.
· Mergers & Acquisitions (M&A) Support:
o Assist with benefits integration and HRIS setup for newly acquired companies, ensuring seamless employee transitions.
o Participate in due diligence, gathering data, and supporting benefit systems configuration and reporting as needed.
· Onboarding and Offboarding:
o Execute onboarding and offboarding functions, including processing new hires, terminations, exit checklists, change notification emails, and conducting exit meetings.
o Partner with Talent Acquisition on creating offer letters, pre-employment screenings, payroll/benefits orientation, and I-9 management.
· Open Enrollment:
o Lead the open enrollment process, configuring and testing benefit plans in ADP Workforce Now.
o Develop materials and support employees throughout enrollment, addressing questions and ensuring a smooth process.
· Program and Project Support:
o Support the HR Leadership team in HR program delivery, including leadership development, performance management, employee engagement, and talent management.
o Coordinate benefits renewal, preparing presentations, meetings, and communications.
o Compile and generate reports using HR data, conducting basic analysis, and sharing insights with HR leadership.
· Administrative & Compliance Duties:
o Oversee and monitor state agency accounts, such as L&I, Department of Revenue, ensuring compliance with state regulations.
o Perform administrative support for HR leadership, including report preparation, scheduling, meeting coordination, calendar management, and travel arrangements.
Qualifications
· Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
· 3 years of experience in benefits administration, including 401(k) plan management.
· Proficiency in ADP Workforce Now, with strong knowledge of HRIS configuration and maintenance.
· Experience with mergers and acquisitions (M&A) and benefits integration is preferred.
· Comprehensive understanding of HR compliance regulations, including ACA, COBRA, HIPAA, and ERISA.
· Strong analytical, organizational, and communication skills.
· Ability to manage multiple priorities, support HR programs, and provide excellent customer service.
