Administrative Assistant – Pac 1 Family Office

Location: Vancouver, WA

Hours: Monday through Friday, 8:00 AM – 5:00 PM

We are seeking an organized, proactive, and computer-savvy Administrative Assistant to join our fast-paced team. This role offers an excellent opportunity for a self-motivated individual to manage projects and support our team with essential administrative functions.

Key Responsibilities:

  • Provide administrative support to team members, ensuring smooth daily operations
  • Schedule, organize, and coordinate meetings, events, and appointments
  • Oversee multiple projects, ensuring they stay on track and meet deadlines
  • Manage office-related projects, taking the lead on planning and execution
  • Prepare and proofread reports, memos, letters, and other important documents
  • Maintain accurate filing systems and retrieve records as needed
  • Handle confidential business matters with discretion and professionalism
  • Run errands, including picking up mail and supplies
  • Receive, manage, and track incoming deliveries
  • Keep the office organized and ensure a clean, efficient work environment
  • Assist with opening and closing office procedures
  • Support executives with various tasks as required

Requirements:

  • Effective communication skills, both verbal and written
  • Strong interpersonal skills with a customer-service-oriented attitude
  • Highly organized, capable of managing multiple tasks simultaneously
  • Ability to work independently, take initiative, and solve problems
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and
  • Proficiency in Google Suite (Docs, Sheets)
  • Quick learner and open to learning AI and other types of software and tools
  • Comfortable using office equipment (copiers, printers, etc.)
  • Ability to thrive in a fast-paced environment
  • Reliable transportation, valid driver’s license, and proof of insurance

Preferred Education and Experience:

  • 3 years of experience in an administrative or customer service role
  • Bachelor’s Degree or higher
  • Project Management experience

Physical Demands:

Work Environment:

  • In-office role, 40 hours per week, Monday through Friday. No remote option available.
  • A supportive and collaborative office environment.
