The Front Office Coordinator serves as the first point of contact for Pace-O-Matic's clients, visitors, and employees, creating a positive and welcoming atmosphere. This role requires a friendly, professional demeanor and the ability to manage a variety of front office tasks efficiently. The Front Office Coordinator will be responsible for maintaining an organized and functional workspace while supporting company executives and handling administrative duties as needed. A key part of the role is ensuring smooth communication and operations in the front office, all while delivering exceptional customer service to both internal and external stakeholders.
Key Responsibilities Include
Greet employees and guests in a friendly and welcoming manner.
Maintain an organized and orderly front office workspace.
Answer phone calls and take messages as needed.
Direct calls to the appropriate destination.
Order and manage inventory of office supplies.
Monitor the front entry and check in guests.
Provide assistance to Pace-O-Matic executives.
Perform additional administrative tasks as needed.
Strong interpersonal and communication skills (verbal/written)
Adaptability, flexibility, and the ability to maintain effectiveness during change
Ability to work flexible/extended hours when necessary

Excellent MS Office knowledge
Outstanding organizational and time management skills
Familiarity with office machines and applications
Excellent verbal and written communications skills
Discretion and confidentiality
Ability to multi-task and adapt to changing priorities and duties
education & Training requirements
High school diploma required
At least four years of related experience required.
Experience with Microsoft Office (Word, Excel and PowerPoint).
Supervisory Responsibility
This position may have limited direct supervisory responsibilities and does serve as a coach and mentor for other positions in the company.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and copiers.
