What are the responsibilities and job description for the Executive Administrative Assistant position at PACE Organization of Rhode Island?
Job Summary:
We're looking for a dynamic and organized individual to support our COO and other members of our executive team. In this role, you’ll manage the COO’s schedule, act as a gatekeeper to their time, and facilitate communication between their office and internal departments. You’ll also coordinate various operational support activities such as writing workflow policies and you’ll help train administrative staff to ensure consistency across the organization.
In this position, you’ll be answering phone calls, responding to inquiries, and handling communication professionally and in a timely manner. You’ll also represent the organization at external meetings and events, communicating our mission and current initiatives. You’ll be the primary scribe for management meetings so your attention to detail will be crucial in accurately preparing, transcribing, and distributing meeting agendas and minutes.
We need someone who is tech-savvy, comfortable using Microsoft and various software systems to enhance administrative efficiency, and someone who is always looking for ways to incorporate operational efficiencies into the process. This role requires someone who is not only organized but also skilled at handling various administrative duties—whether that’s managing mail distribution, handling external errands, or maintaining documents and databases in an orderly fashion. You'll be responsible for ensuring the accuracy of records and files, and will play a key role in preparing reports and proposals for submission.

Qualifications:
2 to 5 years of Administrative Support Experience, Required
1 to 3 years of Health Care Industry Experience, Preferred
1 year of experience working with a frail or elderly population, Preferred
Driver's License & access to reliable transportation; community-based travel required.
