Administrative Office Assistant:

Additionally, accounting and office management experience is preferred. The Administrative Office Assistant will offer support to our existing admin team. We are looking for a well-organized individual with great time management skills, and a familiarity with basic accounting, mailings, reception, and day to day office procedures is a plus. This position is the oil that makes the office run smoothly! Extreme organization is necessary.
- Answering phones only when calls roll over
- Assist and/or lead in the planning and execution of firm events
- Assisting with all-around day to day functions of the office, following all policies and procedures
- Basic accounting skills needed
- Being a jack of all trades who can handle anything thrown at them by utilizing their resources and finding new ones.
- Coordinate with team members on projects to hit goals and deadlines
- Detailed Note taking
- Exercising financial prudence; assuming responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
- Filing, scanning, and recording information as needed
- Follow data protection guidelines as it pertains to HIPAA and personal confidentiality
- Follow through and completion of tasks assigned to you in a timely manner
- Greeting clients and visitors at our front desk
- Helping Organize and maintain office common areas
- Maintains the highest level of confidentiality.
- Manage leader’s schedule and e-mails as needed
- Making calls, sending e-mails and communicating with firm vendors
- Performing general office duties and errands as needed
- Processing admin requests from legal team members
- Scheduling individual and firm meetings
- Track usage of supplies and update appropriate people when supplies are low
- Use of various software applications such as excel, word, Outlook, and relational databases.

Compensation & Job Type:
· $18.00 to $25.00 per hour
· Full Time Non-Exempt Hourly
· The exact hourly rate within the specified range will depend on experience and skill level with additional monthly bonus opportunities available
