Position Summary:
We are seeking a detail-oriented and proactive Accounting Manager to manage accounts payable, accounts receivable, and serve as a backup for purchasing and invoicing. The ideal candidate will ensure the smooth and efficient functioning of these financial operations while adhering to company policies and regulatory standards.
Key Responsibilities
Accounts Payable
- Process, input, review, and verify invoices for accuracy, proper approval, and timely payment.
- Monitor AP ledger and reconcile discrepancies to maintain accurate financial records.
- Manage vendor relationship, including handling inquiries and resolving payment issues.
- Ensure compliance with company policies, tax regulations, and applicable laws.
- Oversee employee expense reporting, including input, review and approval processes.
- Ensure expense submissions comply with company policies and procedures.
- Process vendor payments.
- Process License renewals & assist with Sales Tax.
Account Receivable
- Process deposits.
- Manage customer relationship, including handling inquiries and resolving receiving issues.
- Review aging, process statements and waivers.
- 1st Backup for Collection Calls.
Purchasing (1st Backup)
- Process, input, review and verify material and equipment rental PO’s.
- Assist with vendor pricing quotes.
Contract Administration (2nd Backup)
- Process new projects.
- Invoice generation and distribution to clients/customers.
General Financial Support
- Bank Reconciliation.
- Month-end and Year-end closing activities related to AP and expenses.
- Support internal and external audits by providing necessary documentation.
Key Qualifications
- Education: Bachelor’s degree in accounting, finance, business administration, or related field. Equivalent experience may be considered.
- Experience: Proven experience in accounts payable, accounts receivable, or related financial roles.
- Technical Skills: Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel. Knowledge of expense management tools (e.g., Concur, Expensify) is preferred.
- Soft Skills: Strong analytical and problem-solving skills. Excellent communication and interpersonal abilities for interacting with vendors and team members. High attention to detail and accuracy in financial tasks. Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
