Job Summary:
We are seeking a detail-oriented and experienced Payroll Specialist to join our growing team. This position is critical to ensuring the accurate and timely processing of weekly union payroll across multiple localities. The Payroll Specialist will also handle payroll tax compliance, quarterly and annual tax returns, and W-2 preparation. Secondary responsibilities include processing accounts payable (AP) invoices and supporting the finance team as needed. Additionally, this role will include the onboarding of new employees, ensuring a smooth integration into payroll and benefits systems.
Primary Responsibilities:
Union Payroll Processing:
- Process weekly union payroll for multiple localities, ensuring compliance with union agreements and prevailing wage laws.
- Accurately calculate and process wages, overtime, and deductions.
- Track and report fringe benefits and contributions as required by union agreements.
Payroll Tax Compliance:
- Prepare and remit payroll tax payments on time for federal, state, and local jurisdictions.
- Complete quarterly and annual payroll tax filings, including Forms 941, 940, and applicable state and local returns.
- Generate and distribute annual W-2s and ensure compliance with all year-end reporting requirements.
Record Maintenance:
- Maintain accurate payroll records and documentation for audits and reporting.
- Stay updated on changes in payroll laws, union agreements, and tax regulations.
Secondary Responsibilities:
Accounts Payable Support:
- Process AP invoices, ensuring proper coding and approval according to company policies.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Assist in preparing weekly check runs and maintaining accurate AP records.
Cross-Functional Support:
- Collaborate with the finance on reporting and reconciliation tasks.
- Provide support during audits and assist with financial reviews related to payroll and AP.
Onboarding Responsibilities:
Assist with onboarding new employees by setting up payroll accounts, ensuring accurate information for payroll processing.
- Provide training and guidance to new hires on timesheet processes, benefits enrollment, and related payroll systems.
Qualifications:
Education & Experience:
- Minimum of 3 years of payroll experience, including union payroll (required).
- Experience with payroll software such as Vista, Foundation, or similar platforms (strongly preferred).
- Knowledge of accounts payable processes and systems.
Skills:
- Strong understanding of payroll tax laws, union agreements, and multi-locality payroll requirements.
- High proficiency in Excel and other Microsoft Office applications.
- Excellent organizational and time management skills, with strong attention to detail.
- Ability to handle confidential information with discretion and professionalism.
