Pacific Properties Team is looking for a highly motivated and organized Remote Administrative Assistant to provide comprehensive support to our real estate team. This position offers the flexibility of working from home while ensuring that office operations run smoothly. The ideal candidate will be detail-oriented, tech-savvy, and proactive in handling administrative tasks, client communications, and team coordination.
Key Responsibilities:
Administrative Support: Provide remote administrative assistance, including managing calendars, scheduling meetings, coordinating appointments, and organizing digital files.
Document Management: Prepare, organize, and manage real estate-related documents such as contracts, property listings, and client files, ensuring they are accurate and complete.
Client Communication: Handle inbound phone calls, emails, and inquiries from clients and prospects professionally and efficiently, ensuring timely follow-ups and maintaining positive relationships.
Database Management: Update and maintain databases with accurate client and property information using real estate software or CRM systems.
Meeting Coordination: Schedule virtual meetings and assist with preparing meeting agendas, materials, and taking notes during team or client meetings.
Marketing Assistance: Help create and update marketing materials such as property listings, newsletters, social media content, and email campaigns.
Project Support: Assist the team with ad-hoc projects, including researching properties, managing tasks, and supporting team initiatives.
Customer Service: Respond to client inquiries, resolve issues, and ensure exceptional service is delivered through effective communication and problem-solving.
Technology Management: Utilize communication and organizational tools (e.g., Zoom, Slack, Google Suite, Microsoft Office, CRM) to ensure seamless collaboration among the remote team.
Qualifications:
High school diploma or equivalent; associate’s degree or higher is a plus.
Previous administrative experience, preferably in real estate or a similar industry, is beneficial.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite (Docs, Sheets, Drive).
Familiarity with real estate software (e.g., MLS, CRM platforms) is a plus.
Excellent communication skills, both written and verbal, with a professional and approachable demeanor.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a remote environment.
Ability to work independently with minimal supervision, while collaborating effectively with a remote team.
Attention to detail and a proactive approach to problem-solving.
Strong internet connection and a reliable home office setup to perform administrative tasks effectively.
Working Conditions:
Full-time, remote position with flexible working hours, Monday to Friday.
Must be available for virtual meetings and regular check-ins with the team.
Occasional weekend work may be required for time-sensitive tasks or special projects.
