GENERAL DESCRIPTION OF POSITION:

Assists in the planning and execution of the recruiting, application, admitting, and matriculation processes for Pacific’s Graduate and Professional Programs, with a focus on the School of Pharmacy.

 

 

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES:

  • Develops and implements recruitment, marketing and yield strategies for program in discussion with the AVP of Enrollment Management for Graduate and Professional Admissions and the Dean/Director of program. 
  • Identifies and generates prospects for pharmacy programs.
  • Develops effective on-going relationships with key admissions people of each program.
  • Coordinates and provides input and lives out communication plan for specific programs.
  • Coordinates the development of email and letter communication strategies.
  • Meets with prospective applicants on a scheduled, walk-in, e-mail or telephone basis and has extensive student contact.
  • Serves as primary contact for pre-professional advisors of the specific programs.
  • Recommends and assists in updates, innovations and maintenance of specific professional and graduate admissions websites.
  • Train faculty and student committee members on admission procedures.
  • Supervise and train student members of the Ambassador Club on admissions tours and interview day facilitation.
  • Assists with all administrative functions of the admissions and recruiting effort, including specific programming responsibilities.
  • Event coordinator for open houses, interview days, advisor training days, pre-professional club visitations and other miscellaneous events.
  • Handles a wide variety of tasks in a busy customer service atmosphere. Skilled in establishing priorities and has excellent organizational ability and interpersonal skills.
  • Completes extensive follow-up work, i.e. phoning and emailing to prospective students and applicants.
  • Counsels prospective applicants on admission requirements for specific programs.
  • Counsels re-applicant students on strategies for application improvement.
  • Co-leads professional program admissions committee(s).
  • Serves on professional program admissions committee.
  • Regulates flow of applications to the committee(s).
  • Conducts group presentations to prospective students, pre-professional advisors and other contacts about specific programs.
  • Travels to various graduate fairs, admission events, and undergraduate institutions to promote specific professional programs available at Pacific University.
  • Coordinates tours in conjunction with student group representatives for visiting prospective students and applicants to specific professional programs.
  • Represents the Office of Graduate and Professional Admissions as Pacific University’s liaison to higher education institutions, both domestically and globally.
  • Coordinates and maintains relationships with Pacific University’s undergraduate constituencies which include but are not limited to: international programs, academic advising, Advantage Scholar advisor and students and career services.
  • Educators of all Graduate and Professional Programs through guest speaking, trainings and presentations.
  • Facilitates and coordinates communication with financial aid, business office, registrar’s office, marketing/communication and graduate student services.
  • Maintains recruitment and application software and client management systems such as: Colleague, Recruiter, CollegeNet, WebAdmit, PharmCAS.
  • Develops and maintains specific graduate and professional applications.
  • Develops and maintains marketing and recruitment materials.
  • Responsible for tracking expenditures, staying within division budget and reconciling a corporate credit card each month. Purchases include but not limited to: work-related travel, office activities, events/functions for represented programs and goods needed by the Office of Graduate and Professional Admissions.
  • Travels to various graduate fairs, admission events, and undergraduate institutions to promote specific professional programs available at Pacific University. Responsible for arranging travel needs, tracking expenditures, staying within division budget and reconciling a corporate credit card each month.

 

 

SECONDARY FUNCTIONS:  Perform other related duties as assigned.

 

 

JOB SCOPE: 

Performs duties independently with minimal supervision, operating from specific and definite directions and instructions. Decisions are made within general university policy constraints but occasionally require independent decision making.

 

 

SUPERVISOR RESPONSIBILITY:

  • Supervise and train faculty and student committee members on admission procedures.
  • Supervise and train student members of the Ambassador Club on admissions tours and interview day facilitation.
  • Co-leads professional program admissions committee(s).

Qualifications


EDUCATION AND/OR EXPERIENCE:

Baccalaureate degree required. Prefer 2 to 3 years of experience working in higher education, ideally in the areas of recruiting and/or marketing. Master’s degree preferred.

  • Baccalaureate degree required
  • Demonstrated ability to perform detailed project work with an emphasis on teamwork.
  • Excellent interpersonal skills; ability to work with students, faculty, staff and clients in a professional manner.
  • Ability and willingness to travel and work irregular hours (evenings and weekends).
  • Ability to work under pressure.
  • Excellent oral and written communication skills.
  • Strong analytical abilities, maturity, a high energy level.
  • Sensitivity to the concerns of diverse student populations and confidential information.
  • Willingness to continue Professional Development
  • A valid driver's license is required.
  • Experience with Microsoft Office programs preferred.
  • Experience with territory and prospect management and related software preferred.

 

 

WORKING CONDITIONS:

Normal office working conditions, job requires hours that may exceed 8 hours per day and/or 40 hours per week during peak periods, job requires ability to drive and travel.
