Summary:
The Coordinator, Meeting Logistics is responsible for the planning, coordination, and execution of HCP meetings, including Advisory Boards, Symposiums, and Investigator Meetings. This role works closely with cross-functional teams such as Marketing, Sales, Legal, and Senior Management to ensure seamless, compliant, and cost-effective event management. Key responsibilities include venue sourcing, logistics coordination, budget management, and overall meeting execution to deliver high-quality experiences
Responsibilities
Essential Duties & Responsibilities:

• Lead status meetings with internal stakeholders and vendors to ensure seamless event coordination.
• Serve as the primary liaison with vendors, suppliers, and internal partners, exercising independent judgment to manage relationships and drive strategic event decisions.
• Monitor and manage event budgets, ensuring cost-effective planning while maintaining high-quality experiences.
• Oversee the creation and management of Statements of Work (SOWs), purchase orders (POs), invoices, check requests, and payments.
• Foster strong relationships with internal stakeholders at various management levels to support event success.
• Select, manage, and supervise vendors and suppliers throughout event planning and execution.
• Process expense reimbursements and payments for healthcare professionals (HCP) attending events.
• Negotiate contracts for audiovisual services, hotel accommodations, and third-party vendors.
• Develop and implement planning timelines and meeting management requirements.
• Oversee on-site vendor management for logistics and production during events.
• Coordinate HCP travel arrangements in collaboration with vendors.
• Ensure accurate and timely processing of all TOV (Transfer of Value) reporting using internal systems.
Supervisory Responsibilities:
This position will not have supervisory responsibility.
Qualifications
Education and Experience:
• Bachelor’s degree or an equivalent combination of education, training, and experience required.
• Must have at least 2 years of experience in HCP meeting planning, preferably within the pharmaceutical, biotech, or medical device industry.
• Strong knowledge of Pharma Guidelines.
• Event knowledge and experience is required.

• Strong verbal and written communication skills, with proficiency in English
• Ability to work independently and proactively, while also collaborating as part of multiple teams.
• Excellent multi-tasking and time management skills, with a proven ability to manage multiple projects in a fast-paced environment.
• Demonstrated ability to manage projects end-to-end with minimal supervision.
• Proficient in Microsoft Word, Excel, and PowerPoint.
• Experience with digital meeting and convention platforms.
• Capable of developing contingency plans and managing multiple projects with similar timelines.

Occasional lifting and moving of boxes and supplies, up to approx. 35 lbs. Ability to travel up to 30%.
