Job Summary :
We are seeking an experienced and compassionate Medical Receptionist/Authorization Coordinator to join our healthcare team. As the first point of contact for patients, this role is essential to creating a welcoming environment and ensuring efficient front office operations. This multi-functional position includes scheduling appointments and procedures based on provider orders and patient diagnoses, verifying insurance, insurance authorizations, assisting with billing, and supporting minor clinical tasks. The ideal candidate is detail-oriented, organized, and able to balance administrative duties with patient care in a fast-paced setting.
Key Responsibilities:
- Schedule appointments/procedures/surgeries accurately based on clinical information
- Confirm patient’s insurance provider and either obtains prior authorization or communicates need for prior authorization to appropriate parties as needed.
- Enter notes/special instructions needed for scheduling in the electronic medical record.
- Effectively utilize clinical knowledge when determining if appointment is consistent with the diagnosis/ indications indicated by the provider
- Provide accurate, detailed information to patients regarding test preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients.
- Assist with ensuring patients have proper medical clearance and pre-surgical testing as needed.
- Complete pre-procedure phone calls and confirm appointment times with patients via telephone.
- Ensure registration packet is completed by each patient prior to pre-op. This includes the Advance Directive, Privacy, Ownership Disclosure and Rights.
- Assist other members of the department as needed.
- Other duties as assigned.
Qualifications:
- Minimum of 1-3 years of experience in healthcare insurance authorization handling, scheduling, or equivalent required
- Certification in medical administration is a plus
- Familiarity with medical terminology and EHR system is required
- Strong communication and customer service skills.
- Excellent organizational skills and attention to detail
- Ability to handle multiple tasks and work in a fast-paced environment
- Bilingual in Spanish, Korean and English is a plus
