What are the responsibilities and job description for the Special Events Manager position at Pala Casino Spa Golf Resort?
Responsible for assisting Director of Special Events.
- Must have prior event and entertainment planning, booking, coordinating and supervisory experience.
- Excellent typing, organizing, presenting information, reads, writes and speaks English.
- Must possess outstanding interpersonal communication skills and be proficient in communicating in verbal and written formats to effectively interface with guests, Team Members and negotiate contracts.
- Must possess computer skills and be able to operate office equipment, i.e. copy machines, fax machines and typewriters.
- Must have prior experience and be proficient in Microsoft Word and Excel or some similar application.
- Ability to create and work within budgets, and negotiate contracts with entertainment agents.
- High School or GED equivalent required.
- College Degree preferred.
Essential Job Functions:
- Responsible for performance evaluation and wage increases of Team Members in special events.
- Host all tournaments and events.
- Assist promotions department.
- Responsible for scheduling work hours and days off for hourly representatives and supervisors.
- Assist Director of Special Events in regards to special events, and entertainment.
- Assist with marketing plan and yearly budgets.
- Assist in planning and coordination of profitable special events designed to stimulate frequent return of high quality guest.
- Assist in planning, booking and coordination of entertainment in the casino, lounges and special events room.
- Continually seek unique and innovative methods to expand special events.
- Work with supervisors to refine, improve events/entertainment and reduce departments operating costs.
- Maintain highest degree of organizational skills with ability to prioritize to meet deadlines.
- Communicate deadlines to staff involved in the event, while utilizing the utmost tact and diplomacy.
- Understand the fundamentals of purchasing and obtaining competitive bids from vendors to ensure the lowest bid with the highest quality service and products.
- Host at parties and develop a rapport with preferred guests.
- Ensure compliance with all regulations and safety procedures.
- Track and maintain inventories, compile monthly reports, proforma each event and track results.
- Negotiate entertainment contracts for events.
- Ensure all administrative functions within the department are handled efficiently, effectively and smoothly.
- Develop and implement department policies and procedures.
- Prepare proforma, before and after each event to track profitability.
- Use sound, mature judgment in the execution of all responsibilities to maximize productivity and reduce liability.
- Provide excellent communications to all Team Members.
- Maintain guest list with utmost confidentiality.
- Handle guest complaints and concerns in a prompt and professional manner.
- Ensure event/entertainment records are kept current.
- Keep abreast of competitor’s events/promotions/entertainment and their effectiveness.
- Perform other duties as assigned.
