You would be the first point of contact to welcome everyone to Palante Wealth whether in person or by phone. This role is responsible for managing all front desk operations, providing administrative support to team members, and ensuring that all client interactions are handled with the utmost care and professionalism.
Palante Wealth Advisors is an independent financial services firm situated in Pennington, NJ that helps those who are retired and soon-to-be retired plan for life’s greatest journey. We are seeking a life-long team member who wants to be a part of a positive, inspiring culture and communicates that to themselves every day.
Key Responsibilities:
· Greet clients and visitors warmly, ensuring a positive first impression of the firm
· Manage all incoming calls and inquiries, and documenting notes from every client conversation in our database
· Maintain an organized, compliant and efficient e-filing system
· Schedule and coordinate client meetings, both in-person and virtual
· Coordinate all incoming and outgoing physical correspondence, ensuring timely distribution to staff, clients, and vendors
· Provide administrative support to staff, including and not limited to data entry, electronic filing, and document preparation
· Uphold the firm's policies and procedures, ensuring compliance with legal and SEC standards
· Maintain a clean and organized office and meeting space
· Track and order supplies, as needed
· Schedule office maintenance, as needed
Qualifications:
· High school diploma or equivalent
· Friendly demeanor and soft interpersonal touch, with the ability to establish a lasting rapport with clients
· Empathy, patience, and adaptability are key in this crucial role
· 2 years of experience in a front desk or client service role. Big plus if you have experience in a financial or legal environment
· Proficient computer and telephone skills required; experience with client management software preferred
· Excellent verbal and written communication skills
· Strong organizational and multitasking abilities, with a high attention to detail
· Professional demeanor and appearance
· Ability to work independently and as part of a team
· High level of integrity and confidentiality
