About This Role
Responsible for coordinating the planning and execution of College events including event set up and breakdown, menu requirements, meal changes, disability accommodations, ticket and program distribution, and other event logistics. Acts as liaison or public relations’ ambassador between alumni and the College.
What a day of an Alumni and Events Coordinator looks like:
- Coordinates events for constituent engagement, alumni activities, and other special events.
- Creates and distributes alumni communications and gathers feedback to ensure successful alumni engagement. Coordinates alumni outreach.
- Researches and organizes event venues, catering and food options, and other event needs. Maintains event inventory and orders supplies as needed.
- Coordinates post-event wrap up tasks including event debrief, budget reconciliation, event surveys, and event supply inventory audit.
- Collaborates with departments, functions, and groups within and outside the College to ensure that materials, signage, and programs are developed and produced within time constraints.
- Facilitates training sessions for staff and event volunteers, submits work orders and requests to campus facilities, and maintains the event calendar.
- Develops and strengthens relationships with campus service providers and works collaboratively to ensure successful outcomes.
- Maintains alumni and event databases including response lists, stakeholder data, contact information, special requests, menu requirements, tracking efforts, correspondence, and disability accommodations.
- Performs other job-related duties as assigned.
Education And Experience:
- Associate’s degree and three years of related experience; OR
- Bachelor’s degree and one year of related experience
- Microsoft Office Professional or similar application
- Event planning software
- Attention to detail while maintaining effective time and task management
- Delivering a high level of customer service
- Excellent written and verbal communication skills.
- Effectively communicate verbally and in writing on a regular basis with internal and external customers, build relationships, manage customer expectations, and take responsibility for a high level of service
- Thrive in a fast-paced environment, capacity to prioritize, process, and execute multiple projects at a high-level of accuracy and attention to detail
- Maintain effective working relationships
- Regular physical attendance required
- Some periods throughout the year will require extended work hours including nights and weekends
Education and Experience:
- Bachelor’s degree
- Experience in event planning
- Maintain a high degree of professionalism and confidentiality
- Reach and grasp objects
- Stoop, bend, kneel, crouch, or crawl
- Stand for extended periods of time
- Use of video display terminal
- Use of manual dexterity and fine motor skills
- Identify and distinguish colors and shades of color
- Communicate information orally and in writing
- Receive and understand information through oral and written communication
- Proofread and check documents for accuracy
- Work a fluctuating work schedule
