DEFINITION
Examination
The examination components consist of a qualifying written multiple-choice, performance, and oral exam. Applicants meeting the minimum qualifications will be required to take the exam and are notified via email communication of the scheduled date, time, and location. A valid picture identification is required prior to admittance.
After the exam procedure concludes for this recruitment, an eligibility list will be established to fill future vacancies. When eligibility lists include open and promotional lists of qualified persons through competitive examination, the promotional list will be used first, unless otherwise stated on this bulletin.
Work Schedule:
This position typically works full-time, 8 hours/day, 40 hours/week, and observes a 12-month work calendar.

Holidays and Leaves

Sick leave shall be granted in the proportion of daily hours worked. Vacation is earned at the prescribed rate as part of compensation, and does not become vested until after completion of the initial probationary period.
Work Environment and Physical Demands
This job is primarily performed in an indoor climate-controlled environment, and require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, squatting, kneeling, bending at the waist, reaching overhead and horizontally; dexterity of hand and fingers to manipulate materials, writing instruments, computer keyboard/mouse; see and hear sufficiently in normal range with or without correction; speaking for exchange of information. Potential exposures to adverse weather conditions when walking to automobile or between buildings, indoor/outdoor fumes and odors.

To perform highly responsible secretarial duties and responsibilities in support of a cabinet level District administrator; to relieve the administrator of a wide variety of office and routine administrative duties; and to coordinate activities with other District staff.
SUPERVISION RECEIVED AND EXERCISED
Receives direction from a cabinet-level District administrator.
Duties may include, but are not limited to, the following:
- Serve as personal and confidential secretary to a cabinet-level District administrator; take and transcribe dictation; type letters, memoranda and reports; compose correspondence and memorandums.
- Maintain a cabinet-level District administrator's appointment calendar; set up meetings and conferences between a cabinet-level District administrator and District personnel, outside agencies and general public
- Prepare report drafts; compile, assemble and summarize information and data.
- Review and update administrative details not requiring the immediate attention of the cabinet-level District administrator.
- Arrange committee and other meetings and send out notices; may attend meetings to take minutes; prepare summaries; distribute to appropriate staff.
- Participate in coordinating and administering division budgets; monitor and control expenditures
- Respond to and resolve inquiries and complaints; exercise judgment in policy explanations; when necessary, refer inquiries and complaints to appropriate staff.
- Draft and prepare agenda items for Board meetings; review and prepare items submitted by others; coordinate agenda items with the superintendent's office.
- Make necessary arrangements for staff attendance at conferences, workshops and meetings; secure airline transportation, hotel accommodations and other necessary items.
- Maintain and update important records and forms.
- Coordinate special programs in support of department activities; maintain receipts, monies, records and forms; distribute materials to District staff, school site personnel and the general public.
- Open, read and distribute mail; review incoming mail to the cabinet-level District administrator; determine priority and/or action to be taken by the cabinet-level District administrator.
- Order and maintain office supplies and materials
- Answer, screen and direct telephone calls to appropriate staff.
- Perform related duties as assigned.
EXPERIENCE AND TRAINING GUIDELINES:
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Experience:
Four years of increasingly responsible secretarial and clerical experience. Experience in a public school district is desirable.
Training:
Equivalent to the completion of the twelfth grade supplemented by secretarial coursework and/or training.

The salary rate for a new employee is at the first step of the appropriate five-step salary schedule for this position. The probationary period is 130 work days (not counting sick, industrial accident). Upon becoming permanent, a one-step salary advance shall be granted with future annual advances up to the fifth step of the salary schedule.
