We are seeking a proactive and organized Contract Coordinator to support our proposal and contract management processes. In this role, you will work with various departments to ensure smooth tracking, development, and approval of proposals and contracts. The ideal candidate will have experience with project management tools, like Smartsheet and CRM (Salesforce) systems, and will possess a keen eye for detail, ensuring that our proposals and agreements are aligned with our brand and quality standards. This role will work closely with internal teams to ensure timely and accurate proposal and contract creation, management, and delivery.

Essential Job Functions

  • Process new proposal and agreement requests, entering them into our Smartsheet tracking system
  • Create proposals and agreements using pre-established templates for review and edits by the division head
  • Maintain accurate and up-to-date status updates within Smartsheet trackers
  • Manage centralized storage for pricing, redlines, questionnaires, and related proposal / agreement documentation
  • Coordinate and track the production of contracts, ensuring timely completion and approval
  • Regularly update and maintain CRM (Salesforce), Smartsheet, and SharePoint to reflect the latest proposal and contract statuses
  • Create proposal schedules, tasks, and timelines, collaborating with internal teams to ensure deadlines are achievable and met
  • Manage and track production for responses to requests for proposals (RFPs)
  • Assist in maintaining a knowledge database with standard proposal responses
  • Ensure alignment of external-facing content with Panacea's brand guidelines
  • Facilitate the signature process through DocuSign as needed
  • Other duties as assigned

Education / Experience Requirements

  • Bachelor’s degree or equivalent experience in business, project management, or a related field
  • 2 years of experience in proposal and agreement coordination or similar administrative roles
  • Strong proficiency in Smartsheet, CRM systems, SharePoint, and other project management tools
  • Familiarity with the proposal lifecycle, RFP processes, and contract management
  • Excellent organizational, communication, and time-management skills
  • Attention to detail and ability to manage multiple tasks and deadlines
  • Knowledge of branding and content guidelines for external-facing documents is a plus
  • Experience with DocuSign or other e-signature platforms is preferred
