POSITION SUMMARY:
This position will be responsible for performing administrative functions to support the sales, customer support, and sourcing departments.
DUTIES AND RESPONSIBILITIES:
- Submit membership applications for new members as well as changes for existing members within 24 hours.
- Implement sales department paperwork including Exhibit D’s, DEA’, HINs, rostering and vendor requests.
- Field any questions regarding roster submissions, obtain answers from necessary parties, and provide answers back to membership.
- Request HINs using the HIBCC login.
- Send requests to distributors to link newly rostered accounts and added locations.
- Support Business Development Executives and National Account Manager with market basket prep and vendor research as needed.
- Provide back up support to produce quarterly update and distribution for weekly produce pricing, monthly milk pricing, and quarterly coffee pricing as needed.
- Provide administrative support to Executive Assistants with various projects and tasks as needed.
- Maintain and update procedure manual specific to current positions.
- Perform other duties as assigned
- This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and video conferencing equipment.
- This is largely a sedentary role that requires the ability to lift files, open filing cabinets, bend or stand, as necessary. Must be able to use and manipulate normal office tools, converse effectively via correspondence and orally (especially the telephone), sit for prolonged periods of time and to move about the facilities.
QUALIFICATION REQUIREMENTS:
- At least 3 years’ experience in an office administrative support role.
- Customer service/support experience in a sales environment preferred but not required.
- Proficiency in Microsoft products including Word, Excel, and PowerPoint is required.
- Attention to detail is a must.
- Must process a high degree of professionalism, confidentiality, discretion, accuracy, and sense of urgency.
- The ability to work independently and manage multiple tasks simultaneously is a must.
