Our growing company is seeking a dedicated and detail-oriented Accounts Payable Assistant/Receptionist to join our team. This dual-role position combines accounts payable responsibilities with front-office administrative duties, making it ideal for a versatile individual who thrives in a dynamic, fast-paced environment. The successful candidate will manage financial clerical tasks, greet visitors, handle phone communications, and ensure a smooth and organized office operation. We’re looking for someone with excellent communication skills, a proactive attitude, and the ability to juggle multiple priorities with ease.
Key Responsibilities:
- Accounts Payable Duties: Process invoices, verify expense reports, assist with payment preparation, and maintain accurate financial records.
- Reception Duties: Answer and direct incoming phone calls professionally, greet visitors warmly, and manage front-desk operations.
- Scheduling: Coordinate appointments, meetings, and events for staff and management.
- Administrative Support: Check and organize timesheets, complete forms for project managers, estimators, designers, and other team members, and assist with employee record updates.
- Office Organization: File and organize paperwork, sort and distribute mail/packages, and maintain a clean, welcoming, and efficient office environment.
- Inventory & Supplies: Assist with inventory management and order office supplies as needed.
- Collaboration: Work closely with the office manager to complete special projects and administrative tasks.
- Additional Tasks: Perform other duties as assigned to support the team’s success.
Requirements:
- High school diploma or equivalent (some college coursework preferred).
- Proficiency in Microsoft Office (Word, Excel, Outlook) and QuickBooks (required).
- Strong verbal and written communication skills.
- Excellent organizational skills with a keen eye for detail and accuracy.
- Ability to multitask, prioritize, and adapt in a fast-paced setting.
- Capability to work both independently and collaboratively within a team.
- 2 years of clerical or administrative experience (preferred).
- Bilingual in Spanish (preferred but not required).
- A positive attitude and a sense of humor to contribute to our friendly team culture.
