The Papasan Properties Group (affiliated with Keller Williams) is looking for a professional who has a servant heart, draws energy from working with people, and likes checklists and systems. You will manage the entire contract-to-close process for our buyer clients efficiently and effectively to ensure all our home sales close on time. You’ll be assisting clients and real estate agents for a growing team.
You will have a strong sense of urgency, but not at the expense of quality. You are growth minded, ready to jump in to assist fellow team members, and always looking for ways to improve our services and systems.
In addition, you are committed to putting clients first, doing the right thing, and seeking win-win agreements. The Transaction Coordinator must be adaptable to change, resourceful, and be solutions oriented.
Essential duties and responsibilities:

- 25% of all transactions give a referral throughout the transaction
- Max of 15% fall out during the transaction process
- Track and communication ahead of time, such that we can correct the problem an adjust processes or systems as needed

- Act as liaison between real estate agents, buyer clients, attorneys, title companies, and mortgage brokers during the process of a real estate transaction, and effectively manage the administrative tasks involved in closing the transaction.
- Create timelines and follow up with individuals, as needed, to ensure all deadlines are met and contingencies are released.
- Maintain accurate and compliant paperwork files for all transactions.
- Understand the contracts in order to summarize all important terms, conditions, and contingency dates.
- Communicate with the agent several times throughout the transaction, including all important dates, missing documents, calendar reminders, file compliance status, etc.
- Communicate regularly with the client to send them reminders, check in, and let them know what to expect in each step of the closing process.
- Be the first point of contact/resource for all questions that arise throughout the closing process from agent, client, attorneys, lenders, appraisers, other transaction coordinators/Realtors, etc.
- Coordinate closing date, time, location, and notify all parties.
- Coordinate with agents to ensure the client receives a closing gift at the end of their transaction.
- Answer the office phone line promptly and professionally.
- Serve as backup support to the Listing Manager.
Knowledge/Skills
- Texas Real Estate License or willingness to obtain within 12 months
