Position Description
The Talent Acquisition Operations Specialist will play a critical role in bridging the gap between candidates and hiring teams, ensuring compliance, efficiency, and accuracy throughout the recruitment lifecycle. This 4-month contract position will manage referral bonuses, work closely with the finance and HR teams on promotions and pay adjustments, and ensure smooth vendor management for background checks. The ideal candidate will also support Day 1 onboarding and help facilitate new employee presentations.

What We’re Looking For
The base pay range for this position is $30.000- $40.00 USD an hour commensurate with work location, experience, skills, certifications, education, and prior accomplishments. The position may be eligible for additional compensation, including a bonus, commission and/or equity, as applicable.

What We’re Looking For
- Candidate Hand-Off Management: Own the seamless transition from talent sourcing to candidate management, ensuring all documentation, communication, and workflows are completed efficiently.
- Background Check Oversight: Manage the end-to-end background check process, including vendor management, auditing results, and ensuring compliance with PAR's background check policies.
- Referral Bonus Program Management: Administer and track the referral bonus program, ensuring accurate payment processing and working closely with finance to manage funds for open roles.
- Collaboration with Finance & HR: Partner with the Finance and HRBP (Human Resources Business Partner) teams to manage promotions, pay changes, adjustments, and other employee-related documentation (e.g., offer letters, promotion letters, salary adjustment letters).
- Background Check Policy Expert: Serve as the subject matter expert (SME) on background check policies, staying updated on legal requirements and advising the recruitment team on best practices.
- Audit & Compliance: Regularly audit the background check process and related documentation to ensure consistency, accuracy, and adherence to internal and external regulations.
- ATS Administration: Act as the Subject Matter Expert for the ATS tool(Ashby), ensuring proper use, troubleshooting issues, and driving process improvements for optimal efficiency in the recruitment process.
- Process Improvement: Collaborate with the Talent Acquisition team to identify gaps in recruitment processes, implementing scalable solutions that improve candidate experience and operational efficiency.
- Data Management & Reporting: Analyze and report on recruitment data, background checks, ATS performance, and referral bonuses to identify trends and areas for improvement.
- 5 years of experience in Talent Acquisition Operations or similar roles, with a focus on background checks, ATS management, vendor relations, and compliance.
- Strong expertise in Ashby ATS highly preferred; experience with other ATS platforms is a plus
- Deep understanding of background check procedures, legal requirements, and best practices.
- Proven experience managing referral bonus programs and collaborating with finance teams on role funding.
- Strong attention to detail and excellent organizational skills, with the ability to manage multiple processes and audits simultaneously.
- Excellent communication skills and the ability to collaborate effectively across departments.
- Proven ability to lead process improvements in a fast-paced, dynamic environment.
- Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
