We are currently looking to fill the position of Events Coordinator with a starting range of $60,000 - $73,000 / year, dependent upon experience, education, and skills. This position may have the opportunity for occasional work from home.
The Events Coordinator is responsible for the comprehensive administration of events at Paragon 28. This includes managing expense reporting, compliance reporting, inventory of event supplies, and the planning and execution of marketing and sales training courses and events, along with other duties as assigned by the Manager of Events and Tradeshows.
Key Responsibilities
- Oversee monthly expense reporting for both the Medical Education and Marketing Events Teams.
- Manage inventory for event supplies, including snacks, beverages, promotional items, and décor.
- Coordinate registration processes, including badges, tent cards, hotel rooming lists, catering orders, audio-visual requests, and transportation logistics for all headquarters-based marketing events.
- Conduct post-event analysis, including surveys and recaps, providing recommendations for future improvements for headquarters-based marketing events.
- Track all event-related invoices and expenses for budget reconciliation.
- Submit vendor invoices for non-credit card payments to Accounts Payable.
- Ensure all compliance guidelines and policies are followed, including management of surgeon expenses and monthly compliance reporting for marketing and medical education events.
- Adhere to state, federal, and AdvaMed codes of conduct and industry policies regarding promotional activities.
- Perform duties in compliance with FDA regulations and applicable standards, including ISO 13485.
- Carry out additional tasks as assigned.
Work Environment :
The Events Coordinator typically works in a professional office setting but may also be required to work in event centers, hotel dining & meeting rooms, and the onsite Beast Lab. The role involves the routine use of standard office equipment such as computers and phones.
Physical Demands :
Employees must be able to communicate effectively with individuals both internal and external to the organization. Frequent movement within the facility and event locations is required. The role may involve lifting items up to 25 lbs. and standing for extended periods during events.
Position Type / Expected Hours of Work :
This is a full-time position with standard business hours. Additional early morning, evening and weekend hours will be necessary during events, with occasional remote work permitted.
Travel :
Up to 25% occasional travel.
