Customer Relationship Management (CRM) Administrator
Job Description
Summary : The CRM Administrator oversees the Zoho One (CRM and ERP) system functionality, including customizing it to meet the company’s needs, creating reports and dashboards, ensuring data integrity and providing technical support for users. The goal of this position is to participate in the implementation and architecture of the Zoho One system (including Sales, Accounting, Operations and Human Resources among others), work with the implementation vendor, optimize the ongoing performance to ensure it is effectively utilized across the organization, and continuously improve the system.
Essential Duties and Functions
- Defines critical system needs and architecture of Zoho One during the implementation process.
- Actively leads implementation discussions across departments including Sales, Accounting, Operations and Leadership on Zoho One administration.
- Effectively communicates with Zoho One Integration Partner throughout the definition, integration, launch and post-launch to ensure the system performs as intended.
- Leads, customizes and updates the system on an ongoing basis to provide high level functionality for users.
- Sets up new users and manages existing permissions to ensure users have access to only pertinent information.
- Creates custom workflows for new projects, and tweaks existing workflows based on feedback from end users.
- Shows continuous improvement in the CRM through system updates, conversations with end users and review of system processes.
- Provides dashboards to end users for the most pertinent information in their area
- Runs custom reports in the CRM as needed and works with users on setting up recurring reports.
- Reviews templates on a weekly basis to ensure that the permissions and routing functions are still accurate.
- Analyzes CRM data to look for trends and potential future issues.
- Manages the data integrity of the system and ensures past projects before CRM implementation are listed correctly in the CRM’s infrastructure.
- Surveys end users to ask for potential future upgrades and maps out CRM strategy over the next several months and years.
- Provides system administration customer support for users.
- Escalates issues to the CRM vendor as needed and tracks cases to ensure work is completed and / or issues are resolved.
- Coordinates and supports integrations with third-party applications.
- Periodically reviews other CRM systems and current system to see if a potential switch may be beneficial for the company.
- Works with clients as needed to solve data integrity issues.
