Job Summary:
We are seeking a highly organized and detail-oriented Administrative Coordinator to join our multidisciplinary team at Paragon. This role is essential in ensuring the seamless operation of administrative processes, with a strong focus on managing incoming calls on the main line, ensuring proper follow-up, and effectively channeling calls to the appropriate teams.
Additionally, the Administrative Coordinator will be responsible for checking Medicaid eligibility and working closely with the Rapid Response Team and Crisis Team to direct calls efficiently. The ideal candidate will be proactive, adaptable, and comfortable working in a fast-paced environment while maintaining professionalism and confidentiality.
Key Responsibilities:
Main Line Call Management & Client Support
Answer all incoming calls on the main line, ensuring professional and courteous communication.
Assess caller needs and channel calls effectively to the appropriate department or team, including the Rapid Response Team for urgent matters.
Provide follow-up to ensure inquiries are resolved and no calls go unanswered.
Maintain detailed call logs and escalate concerns as needed.
Medicaid Eligibility & Client Coordination
Verify Medicaid eligibility for clients and communicate findings with the appropriate teams.
Assist clients with understanding Medicaid-related inquiries and direct them to additional resources as necessary.
Coordinate with internal departments to ensure accurate documentation and eligibility tracking.
Administrative Support
Provide executive administrative support to the CEO, including managing correspondence, scheduling, travel arrangements, strategic initiatives, and public engagement.
Assist the CEO in board relations by coordinating communication, meeting logistics, and documentation.
Serve as a liaison between Paragon leadership, staff, donors, and external stakeholders, ensuring a professional and efficient experience.
Maintain and update office policies, procedures, and organizational documents.
Prepare reports, presentations, and spreadsheets for executive review.
Manage and track organizational projects, utilizing project planning tools.
Board of Directors Relations
Schedule and coordinate Board of Directors and related committee meetings.
Attend board meetings (as advised), record minutes, and maintain electronic documentation of reports and discussions.
Provide administrative support to the Chair of the Board of Directors.
Oversee board committee needs and meeting logistics.
Office Management
Oversee general administrative functions such as mail processing, purchasing, and record-keeping.
Attend administrative meetings and document key decisions.
Respond to inquiries from Paragons information inbox and main phone line.
Manage vendor contracts for office-related services (phones, leases, software, events).
Schedule in-house and external meetings as required.
Maintain organizational records and compliance-related documentation.
Compliance & Risk Management
Ensure adherence to HIPAA and confidentiality policies.
Maintain knowledge of regulatory and compliance requirements, assisting with audits and policy implementation.
Assist in developing new procedures to improve service delivery and operational efficiency.
Supervisory Duties
None.
Works under minimal supervision, with assignments based on expected outcomes, deadlines.
Qualifications:
Required Qualifications
Bachelors degree in business administration, management, or a related field, OR 2 years of administrative experience in a professional setting.
Minimum of 2 years of experience in administrative management or a similar role.
Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint).
Experience in handling high-volume calls and client coordination.
Strong organizational, communication, and problem-solving skills.
Ability to work independently while maintaining confidentiality and managing multiple priorities.
Strong written communication skills, including proofreading and editing abilities.
Preferred Qualifications
Masters degree from an accredited institution.
Experience providing administrative support in a nonprofit organization.
Experience preparing presentations and executive reports.
Experience in board relations and external stakeholder engagement.
Work Environment & Physical Requirements
Hybrid work model: Minimum 3 days onsite per week (Monday-Friday, 8:30 AM - 5:00 PM).
Occasional weekend work required (rare).
Must have reliable transportation for local and occasional statewide travel.
Ability to lift and move objects up to 20 lbs occasionally.
Ability to sit at a desk and use a computer for extended periods.
Total Compensation
Salary: $56,500 $60,000 annually
