Position Summary
The Office Manager is responsible for the day-to-day administrative and operational support of the office. This role encompasses a wide range of duties, including Oracle data entry, managing office supplies, maintaining office equipment, coordinating facility services, and providing administrative support to staff and Manangement Team.
Primary Responsibilities
- Accurately and efficiently enters data into the Oracle ERP system, maintaining data integrity and ensuring the smooth operation of business processes.
- Manages office supplies inventory, including ordering, receiving, and distributing supplies.
- Maintains kitchen and office equipment, including printers, scanners, postage machine, etc.
- Coordinate facilities services (landscaping, cleaning, maintenance, and repairs).
- Manages office spaces and ensures a clean, well-structured and organized work environment.
- Coordinates office moves and reconfigurations as needed.
- Provides general administrative support to staff and guests, including scheduling meetings, meals, corporate functions, and handling travel arrangements.
- Assists with the onboarding of new employees as needed.
- Answers and directs phone calls, responds to emails, and handles general office inquiries.
- Manages schedules and maintenance of company vehicles.
- Organizes purchase and distribution of promotional items for employees and customers.
- Performs other duties as assigned
Minimum Education and Experience
High school graduate required, preferably with a college degree and a minimum of 5 years of experience as an Office Manager or in a similar administrative role.
Other Qualifications
- Excellent organizational and time management skills with the ability to prioritize tasks effectively
- Communicates effectively with staff, vendors and other stakeholders
- Builds and maintains positive relationships with internal and external stakeholders
- Extensive experience with Microsoft Office 365
- Strong understanding of Oracle (ERP) systems and extensive data entry experience.
- Ability to create and analyze data reports
- Ability to maintain confidentiality
- Ability to effectively communicate with all levels of the organization
