Project Coordinator
JOB SUMMARY:
This position will be responsible for the management of the processes involved in defining, organizing, and managing project deliverables.
REPORTING:
Reports to the Sales Coordinator
QUALIFICATIONS:
· Minimum of HS diploma
· Experience with and understanding of discrete and sequential manufacturing processes
· Must possess the ability to communicate effectively and show demonstrated problem solving ability
· Experience in customer service, management skills and scheduling preferred
ESSENTIAL FUNCTIONS:
This position is responsible for coordinating communication between sales, engineering, testing, and service. The Project Coordinator is tasked with managing the process from customer inquiry to project completion.
PRIMARY RESPONSIBILITIES:
Defining the Project
· At the direction of Sales, produces project quotes using predefined templates
· Secures approval of quotes from sales and production
· Oversees quote submission and recording in the quote management system
· Assists Sales in managing quote updates
· Translates successful quotes in to Order Confirmation (OC)
· Secures input and approval of OC from production workgroup
· Submits OC and oversees entry into OC management system
· Is responsible for timely OC management
o Customer follow up
o Customer changes/requests submitted for approval to workgroup
o Keep customer informed of schedule impacts
o Secure final approved OC (including all submittals if required)
Organizing the Project
· Using the approved OC works with production workgroup to develop model build number
· Based on approved model build number, produces BOMs
· Submits BOMs to QC review and approval
· Produces SO (sales order) based on approved BOMs
· Directs the issuing of Work Orders (WO) and distribution to Production Manager
· Directs the purchasing of outside material in timely manner (ex: rooms)
Managing Deliverables
· Inputs project information in production scheduling program
· Schedules production scheduling meeting
o Updates schedule based on production staff input
o Makes detail notes on each project status
· Communicates project status to customer and sales
· If necessary, communicate critical information to Production Manager
· Based on Production Manager input updates schedule
· Assists Service Manager in scheduling FTP for units
o Is unit ready to be submitted for testing
· Secures delivery for units
· Works with QC manager completes final checklist on units
· Reports daily to the Production Manager the results of the day’s activities, problems or changes, and then helps develop the changes necessary to keep production at the optimum level
· Organizes freight shipments of equipment
· Works with the Service Manager and customer to coordinate installations and validations

Job Type: Full-time
Pay: $22.00 - $26.00 per hour
