Position Summary
The Project & Office Coordinator plays a dual role in supporting project execution and managing office operations. This position collaborates closely with project teams to ensure efficient project startup, change order management, subcontractor compliance, and project closeout, while also overseeing day-to-day office administration, vendor coordination, and event planning. The ideal candidate is detail-oriented, proactive, and thrives in a dynamic environment.
Responsibilities
Project Coordination
- Collaborate with project teams to ensure smooth operations from project startup through closeout.
- Prepare and issue bid packages, subcontracts, purchase orders, and change orders using CMiC and AdobeSign.
- Collect and manage subcontractor documentation including W-9s and Certificates of Insurance (COIs); maintain compliance through regular reporting in CMiC and communication with AON.
- Track and ensure timely execution of subcontractor and owner change orders in alignment with company procedures.
- Support bid day activities and occasional field coordination (e.g., submitting permits, delivering documents).
- Coordinate prequalification status with subcontractors and internal teams.
- Maintain organized project documentation and filing systems in BIM360.
- Assist in preparing documentation for monthly project reviews and MBE/WBE utilization reporting.
- Lead project-specific closeout efforts and follow up to ensure timely completion.
- Mentor and train Assistant Project Coordinators as needed.
- Assist in developing and refining project policies and procedures to enhance efficiency and compliance.
- Other duties as assigned.
- Manage daily office operations, including vendor communications, supply inventory, mail distribution, and equipment coordination.
- Plan and execute internal and external events (e.g., client appreciation, team lunches, vendor presentations, and holiday events).
- Partner with the Project Executive to schedule and coordinate meetings and events via Outlook and assist with expense reports as needed.
- Serve as the point of contact for property management needs, such as maintenance requests and office access.
- Greet visitors, answer incoming calls, and direct communication appropriately.
- Coordinate with HR and IT to support new hire onboarding (e.g., workspace setup, key distribution).
- Collaborate with IT and executive support teams in other offices to maintain consistent operations across locations.
- Print physical checks and manage sensitive administrative tasks as needed.
- High School Diploma or equivalent required.
- 3 years of experience in a construction-related administrative, coordination, or project support role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Working knowledge of construction terminology, documentation, and processes preferred.
- Experience using CMiC, BIM360, and AdobeSign preferred.
- Strong organizational, communication, and multitasking skills.
- Ability to work independently and adapt to changing priorities.
- Must be a proactive team player with a flexible, can-do attitude.
