We are currently seeking a part-time Medical Assistant/Clinical Office Coordinator for a psychiatry practice, 18-20 hours/week to start, with potential to increase to 25 hours/week. This job is located in Concord, MA but the candidate will be the primary administrator for the office in Concord, MA and virtually for the office in McLean, VA. The schedule for this position will be flexible with much of the work to be conducted virtually, but will require daily Monday - Friday work hours, and some in-office hours (in Concord, MA). Our practice is a growing general outpatient adult psychiatry clinic with 3 providers. Your responsibilities will include providing remarkable customer service, serving as the initial point of contact for patients and referring professionals - answering phones, initial patient screenings, transcribing messages, matching patients with the appropriate clinician, scheduling appointments, interfacing with pharmacies and insurance companies, serving as a liaison between clinicians and patients, and billing responsibilities.
The ideal candidate maintains a professional appearance and is responsible, organized, efficient, discreet and works well with others. Experience working in the mental health field in any capacity is a plus. Much of this job will be virtual, but candidate must have a private home space to work due to confidentiality requirements.
Responsibilities:
(50%) Screening & Registration
- Contact with patients and providers to obtain medical history, transcribe medical information and present it to the provider, answer questions re: office operations to patients.
- Obtain and register demographic information
- Answer phones, handle calls, take and distribute messages in an efficient and friendly manner
- Act as liaison between provider and patients, following strict confidentiality guidelines
- Act as a liaison between our clinicians and referring clinicians
- Complete confirmation calls and provide preparation instructions to patients
- Fax reports, billing information, and manage incoming medical records
(30%) Scheduling
- Schedule patient appointments electronically
- Maintain an up-to-date and accurate database on all current and potential referring physicians
- Assist in communications with pharmacy
- Assist in prior authorization of medication coverage with insurance companies
- Accurately file and maintain patient records
- Maintain an up-to-date and accurate pending-schedule list
- Handle release of information requests for patients, referring offices and other medical facilities following company confidentiality guidelines
- Maintain a list of patient resources for each office location.
(20%) Perform other duties as assigned
- Maintain office by organizing supplies and assisting with general office appearance
- Order office supplies as needed
- Process payments and provide billing information and invoices to patients
- Monitor expenses and complete expense reports
Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree in psychology or healthcare field preferred
- Minimum of 1 year of experience in a healthcare setting, preferably in mental health care.
- Proficient in medical terminology in English, excellent verbal and written communication skills and competent with Microsoft Office, including Outlook, Word, Excel and Google Workspace.
- Strong communication skills and ability to work well in a team environment
- Knowledge of HIPAA regulations and ability to maintain patient confidentiality
