Overview:
We are seeking a detail-oriented Administrative Assistant to join our family office of companies.
Duties:
- Provide administrative support including managing calendars, scheduling appointments, routing documents for signature and approval, and organizing meetings.
- Perform data entry tasks accurately and in a timely manner.
- Input invoices for all company entities in QuickBooks.
- Serve as incoming contact and courier for internal and external stakeholders, vendors, partners and family members.
- Maintain and update vendor files and required documentation.
- Manage and update financial binders for executive review.
- Handle mail and banking-related duties.
- Create and maintain files for various company functions.
- Assist with office management duties such as maintaining supplies and equipment.
- Handle phone calls and correspondence professionally.
- Assist with personal assistant duties for executive as required.
- Provide administrative support to all office staff as needed
Requirements:
- Proven experience in an administrative role, preferably with knowledge of office procedures.
- Proficiency in using office software and phone systems.
- Strong organizational skills with the ability to multitask effectively.
- Notary public a plus.
-Ability to work under moderate supervision.
- Self-motivated, self-starter and willingness to grow into role with additional responsibilities.
