Job Description

Our Salem, Virginia office is looking to expand our operations team with a full-time Receptionist and Client Services Associate. The Operations Team serves Partners in Financial Planning clients and advisors by providing support in areas such as: account administration, application and forms completion, tax preparation support, and other operational duties.

Work Location Policy: This is an on-site position at our Salem, Virginia office. Remote work is not available for this position currently.

Specific duties include:

  • Serve as the primary front desk receptionist, ensuring coverage from 8:30 to 5 PM each weekday and coordinating coverage when away or out of the office.
  • Lead marketing functions to include managing social media, website, and various client communications as well as organizing client events and other marketing tasks assigned.
  • Perform a variety of administrative tasks to support the business such as, sending and retrieving postal service mail and other mail carriers, ordering lunches for weekly team meetings, leading and taking notes to weekly team meetings, ordering supplies, preparing and mailing birthday cards, etc.
  • Manage process to prepare forms and data for use by the firm during tax season.
  • Facilitate the completion of various custodian forms.
  • Work directly with clients (in-person, over the phone, or via email) and advisors to execute account activities, resolve form issues, and answer questions as well as process client tax returns.
  • Utilize the client relationship management (CRM) system to maintain accurate documentation, complete tasks, and other client or firm related activities.
  • Scan, download, and file documents as needed.
  • Execute cash management such as sending and receiving funds.
  • Review and document process changes.
  • Proactively identify and resolve problems.

Qualifications

Required:

  • High school diploma.
  • Ability to pass a credit check and criminal background check.
  • Proficiency in Microsoft Office, specifically Word and Excel.
  • Ability to learn and utilize industry specific applications such as: Advisor Engine CRM (formerly Junxure), Net Documents, and custodian platforms such as Charles Schwab, and Fidelity in their daily tasking.
  • Accurate and detail oriented, specifically with the completion of applications and forms.
  • Ability to multi-task and handle many competing priorities.
  • Exceptional customer service to include the ability to communicate clear explanations, plan of action, and status updates.
  • Ability to work independently with minimal guidance from others.
  • Experience in the completion of applications or forms in an office setting.
  • Willingness to become a notary.

The Perks

  • Salary based on experience and qualifications with a range of $40,000 to $47,500
  • Available health insurance with 100% of the cost being covered for the employee only premium, 50% covered for any other category of coverage, or an additional stipend of $300 per month if you are covered under another health plan.
