SUMMARY
The Human Resources & Volunteer Services Associate (HRVSA) will provide a wide range of support to Human Resources and Volunteer Services. Under the supervision of the Sr. Director, the HRVSA is responsible for organizing and safeguarding confidential information, supply inventory, event coordination and displaying the utmost level of discretion and ethical standards.
JOB DUTIES AND RESPONSIBILITIES INCLUDE :
- Assist the team with data management related to Human Resources and Volunteer Services. Maintain, update and digitize documents, assist with the retention and storage of records accordance with Pasadena Humane’s records retention policy. Monitors, tracks and follows-up on document acknowledgments as needed.
- Assist with the administration of staff recognition programs. Provide monthly reports to other departments. Coordinate with the ordering and inventory of staff and volunteer award items.
- Coordinate the ordering, distribution and inventory of supplies, uniforms, badges and swag for Human Resources and Volunteer Services.
- Manage the department inboxes and respond to inquiries. Route important messages as needed.
- Prepare purchase orders and process invoices as requested.
- Process incoming and outgoing mail and packages including outgoing overnight mail.
- Provide training and support to volunteers in assigned programs.
- Coordinate service project volunteers. Provide service hours confirmations as requested. Distribute projects to appropriate departments.
- Work with HR and VS to coordinate staff and volunteer events and meetings. Support Volunteer Services with signature event volunteer coordination. Assist with on-site and off-site shelter events including but not limited to Free Adoption Events, Group Volunteer Projects, Wiggle Waggle Walk & Run and the San Marino Motor Classic.
- Participate in the OnePHS and DEI staff committees to help promote a shared identity and understanding within Pasadena Humane of who we are, what we do and why we do it.
- Performs other duties as assigned.
REQUIREMENTS AND QUALIFICATIONS
WORKING CONDITIONS
Fast-paced environment. Employees are exposed to numerous animals (living and deceased), including those with uncertain dispositions. They are required to act in a safe and responsible manner.

Vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
